Job Summary:
Experienced Administrative Coordinator with expertise in administrative support, assessment coordination, exam administration, scheduling, data entry, and office operations. Skilled in managing confidential information, coordinating multiple priorities, maintaining accurate records, and providing exceptional support in fast-paced academic or healthcare environments. Proficient in Microsoft Office 365, Adobe Acrobat Pro, and administrative systems, with strong organizational, communication, and problem-solving abilities.
Key Responsibilities
- Coordinate administrative activities and provide support to program leadership.
- Schedule meetings, exams, and student assessment activities.
- Assist with exam administration, proctoring, and assessment coordination.
- Maintain accurate student records, grades, and assessment documentation.
- Perform data entry, reporting, and document management with a high level of accuracy.
- Respond to emails and inquiries in a professional and timely manner.
- Prepare reports, correspondence, and presentation materials.
- Coordinate room bookings and logistical arrangements for assessments and meetings.
- Support students, faculty, and staff with assessment-related processes.
- Ensure confidentiality of student and organizational information.
- Assist with ADA accommodation scheduling and related administrative tasks.
- Troubleshoot administrative and technology-related issues as needed.
- Collaborate with cross-functional teams to support departmental operations.
- Assist with special projects and process improvement initiatives.
- Maintain compliance with organizational policies and procedures.
Required Qualifications
- Bachelor's degree, Associate degree, or equivalent combination of education and administrative experience.
- Minimum of 2 years of administrative, office support, or program coordination experience.
- Strong proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, OneDrive) and Adobe Acrobat Pro.
- Excellent organizational, multitasking, and time management skills.
- Strong written and verbal communication skills.
- Ability to manage confidential information with professionalism and discretion.
- Experience working with technology and administrative software systems.
- Demonstrated attention to detail and commitment to accuracy.
Preferred Qualifications
- Experience in higher education or academic administration.
- Experience supporting undergraduate medical education or healthcare education programs.
- Experience with assessment, examination, or student services.
- Familiarity with systems such as Banner, Sakai, ExamSoft, NBME, or similar academic platforms.
