Administrative Support & Parts Coordination: Long-Term Office Assistant / Parts Coordinator Wanted in Longview!

American Workforce Group has partnered with a premier, high-volume diesel specialty and fleet service shop in Longview, WA to hire a dependable Office Assistant / Parts Coordinator for an immediate assignment projected to run through approximately July 2027!

In this dynamic shop-support role, you will work closely alongside the Shop Manager to keep daily operations running smoothly. You will serve as the backup receptionist, handle incoming customer calls, take service and repair orders, enter purchase orders into the accounting system, and track incoming parts and freight deliveries so mechanics have exactly what they need on the floor. • Provide front-office and backup receptionist coverage: answer multi-line phones, direct inquiries, and take accurate customer service orders.
• Collaborate closely with the Shop Manager to research, verify, and place orders for automotive and heavy-duty diesel parts, consumables, and shop supplies.
• Generate and enter purchase orders (POs) cleanly into the company accounting system.
• Track vendor shipments, monitor delivery ETAs, receive incoming parts packages, and match packing slips to open purchase orders.
• Communicate with parts distributors and vendors to resolve backorders, returns, and pricing discrepancies.
• Maintain organized digital and paper files for customer work orders, vendor invoices, and delivery receipts.
• Assist with general administrative tasks including filing, copying, and basic inventory tracking.

• Pay Rate: $20.00 / hour.
• Schedule: Full-Time Monday – Friday (Guaranteed weekday routine with weekends OFF!).
• Shift Hours: 8:00 AM – 5:00 PM (Includes a full 1-hour lunch break daily ).
• Role Scope: Front-office reception, purchase order entry, parts tracking, and shop administrative support.
• Position Type & Duration: Long-term temporary assignment (starting within the next few weeks and projected through approximately July 2027).
• Location: Longview, WA facility.

• Administrative Experience: Previous background in general office support, front-desk reception, data entry, or customer service (experience in an automotive, diesel, or industrial shop setting is a strong PLUS ).
• Computer Proficiency: Solid familiarity with Microsoft Office (Word, Excel, Outlook) and comfortable entering data into accounting/ERP software.
• Parts & Order Tracking: Experience generating purchase orders, checking in deliveries, or tracking logistics is preferred.
• Professional, courteous telephone etiquette and clear written/verbal communication skills.
• Strong attention to detail, basic business math ability, and reliable follow-through on open tasks.
• Exceptional history of daily attendance, prompt morning punctuality, and a collaborative team attitude.
