Job Summary

The Mass General Brigham Medical Group is a system-led operating entity formed by Mass General Brigham to deliver high quality, low cost, innovative community-based ambulatory care. This work stems from Mass General Brigham's unified system strategy to bring health care closer to patients while lowering total health care costs. The Medical Group provides a wide range of offerings, including primary care, specialty care, behavioral and mental health, and urgent care, both digitally as well as at physical locations in Massachusetts, New Hampshire, and Maine. The group also offers outpatient surgery and endoscopy, imaging, cardiac testing, and infusion. We share the commitment to delivering a coordinated and comprehensive experience across all locations, ensuring the appropriate level of care is available to every patient across our care delivery sites.

We are seeking a full-time team member to join our practice, working 40 hours per week, Monday through Friday from 8:30 AM to 5:00 PM, based at our 250 Paradise Road location in Swampscott, MA. This is a dynamic, dual-role position that includes responsibilities across the front desk, phones, and scanning, with team members cross-trained to support multiple functions. While phone coverage is handled separately from the front desk, this role will include rotating support on the phones a few days each week. You'll be part of a collaborative team of eight staff members.

The ideal candidate will bring direct healthcare administrative experience in a primary care setting along with strong customer service skills. We are seeking someone who thrives in a fast-paced environment, is highly organized, and is able to manage multiple priorities effectively. Experience working with Epic is highly preferred.

Essential Functions

• Make patient appointments and maintain appointment records.
• Greet and assist patients.
• Answer telephones, assist callers with routine inquiries, and schedule appointments.
• File materials in patient folders and print appointment schedules.
• Process patient billing forms and scan documents to patient medical records/LMR.
• Call for patient medical records and laboratory test results.
• Open and distribute unit mail or faxes.
• Type forms, records, schedules, memos, etc., as directed.
• May be required to accept co-payments.
• Handles, screens, and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
• Acts as "Super User" for scheduling, registration, and billing systems.
• Provides assistance and training to others in these areas.
• May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at a more advanced competency level.

Qualifications

Education
High School Diploma or Equivalent required

Can this role accept experience in lieu of a degree?

Licenses and Credentials
Certified Medical Administrative Assistant [CMAA] preferred

Experience
office experience 2-3 years required

Preferred:

• Healthcare admin experience in a primary care setting
• 2 years of experience working in a community-based medical practice
• Epic experience preferred
