Records Clerk

Smoky Mountain Children's Home, a faith-based non-profit organization, is seeking a Records Clerk at the Sevierville, TN campus. In this role, you would be in a position to make a positive difference in the lives of at-risk youth. You will join a team of dedicated individuals who oversee all aspects of welfare for an assigned group of at-risk youth.

Job Summary:
The Records Clerk is responsible for the maintenance of all children's case
records and other duties as assigned by the Director of Accreditation.

Responsibilities:

• Set up and maintain children's case records.
• Set up an active case file for each child who is admitted to Smoky
  Mountain Children's Home residential group home.
• File all documents in the active files relating to children.
• Obtain pictures of children, label them, and put them in their active files.
• Type the demographic page for residential children with background
  information, and file in their active file.
• Prepare a crisis folder for each new child in the cottage.
• Review case records quarterly to verify all documents are in place to
  comply with state requirements as assigned by your supervisor.
• Assist case managers and other personnel with information in case
  records, and make copies when necessary.
• Send 5 pictures and a demographic page with pictures to campus leads.
• Send a request for school records for new children within 24 hours of
  placement.
• Notify your supervisor if case managers keep files overnight by 9 am
  the following business day.
• Closeout children's records when they are released
• Sort and shred any unnecessary documents, i.e., extra copies.
• Put documents in file folders, label them, and file them in closed files. Scan in closed files after 30 days of release.
• Send a list of discharges missing in closed files by the 5th business day of the month to your supervisor.

Additional Duties

• Monitor the printer in the file room including getting paper to keep on
  hand for the machine. Maintain repair calls on the printer as needed.
• Notify appropriate personnel of all admissions, releases, and cottage
  changes.
• Occasionally fax documents.
• Rotate coverage on the front desk as scheduled by the office manager.
• Do tours of the campus as requested by the office manager.
• Serve on the SMCH decoration committee for banquets or special events.
• Prepare staff identification badges.
• Prepare identification badges for children in care when necessary.
• Notify your supervisor any time you are away from your desk or out of your office for more than 30 minutes.
• Assist with COA mailouts.

Position Requirements:

• Must be at least 21 years old and have a valid driver's license.
• Must have a minimum of a high school diploma or equivalent.
• At least 3 years experience in record keeping and/or office filing.
• Must be able to work as a team member and accept supervision.
• Must be able to pass a drug test and extensive background checks.
• Must be physically capable of performing all job duties.
• Must be authorized to work in the U.S.
• Bilingual in Spanish/English is preferred.

• Work indoors for 99% of their work hours
• 50% of the time sitting
• 35% standing
• 15% walking stairs
• Able to lift up to 20 lbs.

Salary Information:

$14.50-$19.50 per hour, pay increase after a 90-day probationary period (with a favorable performance evaluation).
