IT Business Operations Analyst

The IT Business Operations Analyst provides varied, higher-level support and operations management to the Chief Information Officer & Information Technology Leadership Team to ensure smooth day-to-day function of the department. This is a critical contributor to the team serving as the primary business operations analyst for the IT Division, responsible for operational planning, budget oversight, strategic reporting, process improvement initiatives, and administrative management of key departmental programs. This individual must be capable of working independently with limited guidance, demonstrate a great deal of common sense, critical thinking, and be able to handle sensitive matters with the utmost discretion and confidentiality. Flexibility, proactively identifying needs/actions, and a willingness to assist others with overflow workload are key elements for the successful performance of this job. This is a hybrid position requiring in office hours. The IT Business Operations Analyst will perform a wide range of duties as indicated below: * Communication: Serve as a point of contact for the IT department or office, which may include answering phone calls, taking messages, responding to emails, and greeting visitors. Maintaining IT SharePoint site to ensure accuracy, expand content, and bolster customer centricity. * Documentation/Document Management: Prepare documents such as memos, reports, and other correspondence (involves typing, formatting, proofreading, and writing content). Ensure storage/organization/version control of critical documentation (such as contracts, presentations, inventories, etc.) * Data Management and Analysis: Enter, update, and retrieve information from databases or filing systems. May also compile data, prepare reports, and perform analysis to derive insights or corrective actions. * Financial Management: Assist with budget preparation, develop budget forecasting models, and present recommendations for management review. Prepare budget reporting, analyze variances, identify operational trends, and recommend corrective actions to senior leadership. Create accounting documents, perform expense tracking, invoice coding/processing, and variance analysis. * Support for Special Projects: Support departmental projects by providing project coordination, cost/resource forecasting, or analysis support. Manage IT department intake and prioritization for enhancements. * Scheduling and Coordination: Manage calendars, organize meetings, schedule appointments, and arrange travel itineraries/reservations for office staff. Qualifications: * 5+ years administrative experience supporting multiple leaders or a team including the handling confidential data (required). Banking or technology experience (preferred). * High school diploma/GED required. College degree preferred. * The ability to collaborate well with people using tact and diplomacy * Proficiency with the Microsoft Office Suite, including Word, PowerPoint, Excel, and Copilot. * Experience using analytic software such as Power BI or Tableau (preferred) * Comfort multitasking or prioritizing multiple requests from different stakeholders * A demonstrated ability to analyze problems, propose solutions, and maintain accuracy * Ability to work effectively under pressure in a fast-paced environment with adherence to deadlines * Excellent written and oral communications skills * Self-motivation when managing work and communication channels * Highly organized and capable of creating processes/procedures and educating others in the department to drive efficiency/improvement * Confidentiality, ability to manage sensitive information in a prudent manner Principal Activities and Duties: * Active participation in office management, including handling general clerical tasks * Prioritize competing departmental initiatives. * Organize and prepare meeting schedules for various areas within the department * Explain policy/procedures to other parties based on knowledge of the company and department * Respond to and initiate inquiries (questions regarding purchasing, personnel, facilities, administration, specialized programs, etc.) * Explain policies, answer questions, and independently resolve problems whenever feasible * Represent department managers or other senior-level officers in meetings, including taking notes, publishing minutes and recordings * Prepare presentation materials for use by others, editing content and adding appropriate graphic and design elements. * Compose and/or prepare correspondence, memoranda, promotional materials, forms, newsletters, manuals, and reports using appropriate word processing and spreadsheet tools * Evaluate IT operational performance metrics, identify trends, assess business risks, and develop recommendations to improve operational effectiveness. * Prepare executive-level analysis supporting staffing, budgeting, productivity, vendor management, and strategic planning decisions (e.g., IT operational metrics, time-tracking/forecasting, talent acquisition/attrition, etc.) * Lead departmental process improvement initiatives and recommend workflow changes to improve efficiency, compliance, and service delivery. * Establish and maintain departmental administrative standards and operating procedures. * Serve as departmental liaison for vendor relationships, contract tracking, invoice reconciliation, and service-level monitoring. * Plan, prioritize and schedule meetings and appointments for IT leadership and other management. * Perform other duties as required to support the mission and function of the IT Department All employees have the responsibility and the accountability to serve as risk managers for their businesses by understanding, reporting, responding to, managing, and monitoring the risk they encounter daily as required by Dollar Bank's risk management program.
