Position Summary The Customer Service & Inventory Planning Coordinator is responsible for day-to-day customer service operations and performing inventory planning activities including stocking level and consumption analysis and generation of purchase orders to ensure all materials are available to support sales/operations. This role acts as a key liaison between internal and external customers, suppliers, freight carriers, and warehouse staff to ensure accurate inventory management, timely shipments, and high levels of customer satisfaction. The position also provides backup support to the Warehouse Lead and assists with warehouse operations as needed.

Essential Duties & Responsibilities

•

Serve as a primary point of contact for customers regarding order processing, product availability, shipping details, and delivery timelines.

•

Manage complete order process from quotation to final invoicing in a timely manner.

•

Work directly with customers to resolve order discrepancies, shipping issues, and service concerns in a professional and timely manner.

•

Manage inventory levels and planning, matching forecast demand with on hand, on order or in transit quantities.

•

Maintain accurate inventory records and ensure proper stock control procedures are followed.

•

Process stock receipts and assist with inventory updates within the company’s ERP system.

•

Coordinate and perform monthly physical inventory counts to ensure accuracy.

•

Track and report inventory variances and work with warehouse lead to resolve issues.

•

Inform appropriate individuals (sales reps, managers, customers) of any issues related to material shortages/delays that may cause an out-of-stock situation.

•

Prepare all required international shipping documentation including commercial invoices, bills of lading, shippers’ letters of instruction, and other required freight paperwork.

•

Coordinate domestic and international shipments with freight carriers and freight forwarders for both import and export.

•

Negotiate with freight companies to secure competitive shipping rates.

•

Manage material quality issues, including liaising with the manufacturer, internal personnel, and customer to resolve any complaints.

•

Maintain bi-monthly consignment inventory tracking, invoicing, and replenishment.

Additional Duties as Needed

•

Receive, unload, label, store, and repackage incoming products as needed.

•

Assist with maintaining a clean, safe, and organized warehouse environment while optimizing storage space.

•

Operate warehouse vehicles and equipment safely and perform routine preventive maintenance checks.

•

Support warehouse operations and provide backup to the Warehouse Lead when needed.

Leadership & Coordination

•

Assist in supervising and training warehouse staff on operational procedures and safety practices.

•

Coordinate with warehouse personnel, sales staff, and logistics providers to ensure smooth workflow and accurate order fulfillment.

•

Monitor daily warehouse and shipping activities to maintain efficiency and accuracy.

Qualifications

•

3+ years of experience in customer service, warehouse operations, inventory control, or logistics coordination.

•

Experience with shipping documentation, freight carriers, and domestic/international logistics preferred.

•

Familiarity with inventory systems or ERP software.

•

Strong problem-solving and organizational skills.

•

Intermediate mathematical problem solving.

•

Intermediate level in Microsoft Office Suite.

•

Ability to organize and prioritize a variety of tasks and projects.

•

Ability to communicate professionally both verbally and in writing with customers, vendors, and internal teams.

•

Ability to lift up to 50 lbs. and work in a warehouse environment when needed.

•

Forklift or warehouse equipment experience preferred.
