Business Manager of Optical Services

The Virginia Eye Institute (VEI) is hiring! VEI is a large and dynamic practice of ophthalmologists and optometrists in the Richmond, VA area.

We are searching for a full-time Business Manager of Optical Services to join our busy practice.

Job Purpose

To manage all Optical business-related activities for seven Virginia Eye Institute locations as defined by the Director of Optical Services.


Duties and Responsibilities

• Oversee Optical procurement functions for Virginia Eye Institute to include negotiating purchasing, and developing positive relationships with key decision makers at each account
• Meet with all Frame and Contact Vendors - select product and pricing strategies
• Oversees all aspects of contact lenses to include: contact lens website and ensures all contact lens monies are distributed into the correct optical accounts, add new users to CL website
• Oversees all funds from frame and lens rebates - send timely documented spreadsheets to Accounting for processing

• Responsible for ordering and maintaining Lens website (Essilor Edge)
• Responsible for ordering all of the Optical supplies
• Responsible for company credit card and credit card reconciliation on a monthly basis
• Audit vendor invoice/statements for accuracy of product pricing compared to contract
• Responsible for Optical Accounts Payable - pay all vendor accounts in a timely manner on a monthly basis
• Identifies, plans and communicates cost reduction and revenue enhancement opportunities as they arise
• Create and maintain Cost-of -Goods report for all optical locations

• Maintain frame/contact lens merchandising in Optical locations to create product awareness and to increase revenue
• Responsible for goal setting for each Optical location
• Create and maintain spreadsheets for Cost-of-Goods, Net Income, and Optical Expenses
• Liaison for Optometry/ Optical (Medical CL's/Fits/Materials)
• Oversee the operations of the Frame Dept. at Virginia Eye Institute
• Supervise one associate - Optical Inventory Specialist
• Maintain Frame Inventories for all seven Optical locations - includes scheduling the frame inventories, reviewing and processing reports before and after inventories for Accounting purposes
• Create and Maintain Frame Board Management Planograms
• Oversee Frame Audits at Optical Location(s) -provide appropriate information to external auditors and manage end-of-year frame inventories
• Oversee Medicare processes for Optical - meet with Medicare Auditors and prepares any and all reports required by Medicare Team - also create and distribute Medicare booklets to Optical locations
• Work with IT Dept. for Optical Point of Sale System and be responsible in managing any area of distress
• Plan and organize Frame/Contact Lens Trunk Shows
