Position Overview Join our team as a Supervisor, Care Coordination who works to ensure that clients who come to the hospital are greeted courteously and efficiently, that phones are answered promptly and calls are directed properly, and that client payments and other payments are handled according to policies and standards. Supervises care coordinators for the hospital and serves as a care coordinator when staffing levels require it. Memphis Veterinary Specialists & Emergency in Memphis, Tennessee, is a leading specialty and emergency hospital providing advanced care across multiple disciplines. With board-certified specialists and 24/7 emergency services, the team delivers cutting-edge medicine when pets need it most. Essential Functions Supervise care coordinators, including hiring, firing, and evaluating performance, reviewing time reporting, enforcing company policies and communicating new practices and policies regarding reception duties Schedule care coordinators according to staffing needs, serving as a care coordinator, as needed Receive client complaints and concerns regarding reception, escalating issues to Hospital Manager, as needed Maintain specialist (non-emergency doctors) scheduling information and changes Count cash and/or balance daily transactions, balance cash drawer and make change, as needed Process refunds, returns, and credits, as needed by location Organize and process all payment plans and held checks, as needed by location, obtaining approvals as necessary Bi-monthly billing statements and collections as well as end-of-month closing reports, as required by location Serve as back-up to Hospital Manager for maintenance or building issue resolution Other duties as assigned by Manager Qualifications High School diploma or equivalent. Minimum 1 year of customer service experience. At least 1 year of veterinary medical receptionist experience preferred. Knowledge of veterinary environment, terminology, and protocols. Ability to work in a team environment. Strong customer service skills. Ability to handle multiple tasks and priorities. Experience with multi-line telephone systems. Excellent organization skills. Attention to detail. Verbal and written communication skills. Supervisory and staff scheduling skills. Basic math skills. Proper handling and accounting for cash and client payments. Good interpersonal skills. Schedule 5 days per week, possible rotating schedule. Some night and weekend shifts are required.
