Job Responsibilities
Under general supervision, provide a professional and efficient front-line service for the Office of Disciplinary Counsel. This includes managing and directing incoming calls, coordinating with security regarding visitor management, and welcoming guests while guiding them to the appropriate staff members. ESSENTIAL DUTIES AND RESPONSIBILITIES OF THE POSITION Responsible for managing all incoming calls to the main number of the Office of Disciplinary Counsel. Ensure calls are accurately forwarded to the correct person or department. Address routine information requests directly or guide callers to the appropriate staff member. Take messages for staff members who are unavailable. Welcome visitors with a friendly greeting to foster a welcoming environment. Identify the purpose of their visit to ensure they are directed to the appropriate person or office. For routine information inquiries, handle the request directly or refer them to the suitable staff member for further assistance. Perform other tasks as assigned, including general clerical and secretarial duties, which may include maintaining an internal directory of contact numbers, recordkeeping, maintaining office supplies, coordinating equipment maintenance, and handling packages and correspondence.
Minimum and Additional Requirements
High School Diploma
One (1) year of clerical experience.
Proficient computer skills, including the Microsoft Office Suite.
Understanding of grammatical rules, spelling, language usage, and clerical formats.
Strong attention to detail and accuracy in correspondence preparation.
Ability to efficiently plan and organize work activities, prioritizing tasks based on schedules and objectives.
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of the principles, policies, and practices of law office administrative support or demonstrated willingness to learn.
Attention to detail in generating, filing, and saving correspondence.
Knowledge of grammatical rules, spelling, language usage, and clerical formats.
Accuracy in preparing correspondence. Knowledge of law office filing practices.
Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals.
Ability to communicate courteously and effectively, both orally and in writing, with Judges, attorneys, and the general public.
Ability to exercise judgment and discretion when handling Office of Disciplinary Counsel correspondence, pleadings and other documents.
While office collegiality is encouraged, avoidance of extended breaks or discussions between tasks is important.
