Job Summary Radiology Access Specialist responsible for accurate and efficient admitting, registering, entering radiology orders, and financial analysis activities for all patients upon arrival to the healthcare system, including compliance with managed care contracts and CMS regulations. Provides professional, courteous service, manages past account balances, informs patients of financial responsibilities, and facilitates collections. Supports pre‑collections goals, coordinates with financial counseling services, and enforces patient access policies. Demonstrates empathy, professionalism, confidentiality, and excellent oral and written communication skills. Works in a fast‑paced clinical environment requiring strong organizational and multitasking skills, with moderate physical activity and computer use. Education High School Diploma or equivalent. Experience Required: (none specified). Preferred • 2+ years experience in a healthcare‑related field; highly organized, detail‑oriented, self‑starter with strong math skills and efficient customer service; strong computer skills; telephone etiquette; knowledge of registration and third‑party payer processes; preferred experience in a physician front office or insurance/healthcare call center; understanding of CPT/ICD‑10, insurance coding, and billing knowledge. Requirements License/Certification/Registration: Certified Healthcare Access Associate from NAHAM (preferred). Department Position Summary Essential Functions Register and activate scheduled patients, walk‑in patients, and emergency room patients, gathering all required demographic, financial, and regulatory information. Verify insurance eligibility and benefits for all patient types; validate pre‑certification; compute patient liability at registration; communicate and collect financial liabilities; review prior bad debts and request payment. Alert Financial Advocates of accounts with clearance issues; document liability and clearance status to ensure timely point‑of‑service processing. Demonstrate accurate entry of radiology orders and scheduling in e‑chart. Provide excellent verbal and customer service to patients, physicians, and visitors. Responsibilities Perform registration and check‑in functions: verify patient IDs, collect demographic and insurance data, ensure required forms (ABN, assistance, consent, etc.) are completed, apply Red Rules two‑identifier requirement, communicate financial liability, provide patient rights information, and schedule and enter radiology orders in e‑chart. Verify insurance eligibility and benefits using integrated systems, payer websites, and telephone calls; document eligibility, benefits, and pre‑certification status; calculate and record patient liability; process and document financial liabilities, estimations, and payments; document financial clearance issues. Maintain current knowledge of policies, procedures, and problem resolution; implement practice changes; advise management of unresolved problems; access newsletters and emails; maintain >95% accuracy; complete special projects; prepare reports. Maintain confidentiality of departmental information; release information only per policy; demonstrate professional demeanor; provide timely, clear communication; resolve conflicts; foster relationships with staff; maintain positive working relationships.
