Payroll Specialist

Gridsource is seeking a detail-oriented Payroll Specialist to process multi-company, multi-state payrolls. This role is responsible for payroll data validation, payroll processing activities, and maintaining accurate payroll records in accordance with established processes and deadlines. The Payroll Specialist will work closely with another Payroll Specialist, Operations Support, and the HR team to ensure payroll data is accurate and timely.

Duties/Responsibilities:
• Process multi-company, multi-state payrolls in accordance with established schedules.
• Import, validate, and review payroll data prior to processing.
• Create, review and update payroll SOPs.
• Respond to payroll-related inquiries and requests in a timely manner, escalating issues as appropriate.
• Partner with the Operations Support team to support timekeeping, job costing, and payroll export activities.
• Review payroll export files from timekeeping systems to ensure accuracy before uploading into Paylocity.
• Manage garnishment process and validate within Paylocity.
• Support payroll tax setup and discrepancy resolution at the employee and company level.
• Track and process referral bonuses, sign-on bonuses, and other special payroll payments.
• Validate new hires, terminations, and employee changes in Paylocity to ensure accurate payroll processing.
• Identify terminations in immediate pay states and process as appropriate; notifying impacted parties.
• Partner with HR to support employee setup and payroll-related changes after validation.
• Prepare and maintain payroll records, reports, and documentation within designated payroll folders.
• Reconcile payroll prior to submission for review and approval.
• Generate standard payroll reports as requested.
• Support internal and external payroll audits as needed.
• Assist with year-end payroll activities, including W-2 preparation and review.
• Perform other related duties as assigned.

Required Skills/Abilities:
• 2-5 years of payroll experience.
• Exposure to multi-state payroll processing is preferred.
• Working knowledge of payroll concepts, wage and hour regulations, and payroll compliance.
• Strong attention to detail and ability to accurately review and enter data.
• Ability to work effectively in a fast-paced environment.
• Ability to review payroll and employee data, identify discrepancies or items that appear inaccurate, and appropriately question or escalate to ensure data accuracy.
• Ability to follow established payroll processes and meet strict deadlines.
• Strong organizational and time-management skills.
• Clear written and verbal communication skills.
• Proficiency with Microsoft Office, including intermediate Excel skills.
• Experience with Paylocity is preferred.
• Willingness to learn and adapt to evolving payroll processes.
