Job Summary

We are seeking a highly organized and proactive Service & Maintenance Coordinator to join our team. In this role, you will be the backbone of our daily operations, ensuring that our clients' maintenance contracts are up to date, our service technicians are efficiently scheduled, and our customers receive top-tier service. The ideal candidate excels at multitasking, possesses strong communication skills, and has a keen eye for administrative accuracy. 

Core Responsibilities

• Contract Management: Set up, manage, and proactively renew customer maintenance contracts. 
• Scheduling: Efficiently schedule daily service calls, jobs, and routine maintenance appointments for our field team. 
• Invoicing: Accurate execution of invoicing for maintenance contracts.
• Follow-Up Tracking: Monitor and track follow-up appointments to ensure no customer request or pending maintenance task falls through the cracks. 
• Logistics Coordination: Coordinate parts and equipment deliveries to ensure team members have the necessary materials. 

Qualifications & Must-Have Skills

• Experience: 1–3 years of experience in service coordination, dispatching, scheduling, or office administration (experience in HVAC, plumbing, property management, or construction is a major plus). 
• Software Proficiency: Comfortable working with Microsoft Office and specialty software.
• Communication: Exceptional verbal and written communication skills for interacting with customers, vendors, and technicians. 
• Organization: Superior time-management and multitasking skills, with the ability to handle a fast-paced environment. 
• Problem-Solving: Strong critical thinking skills to quickly resolve scheduling conflicts and logistical delays.
