Job Description
The procurement expeditor ensures the timely delivery of materials, equipment, and subcontracted services required for solar construction projects. This role tracks and drives purchase orders from issuance through delivery, coordinating with suppliers, logistics, and site teams to prevent schedule delays and work stoppages. The position requires full-time work at the client's offices.
Key Responsibilities
- Expedite purchase orders (POs): Monitor open POs, confirm supplier acknowledgment, and keep committed delivery dates aligned to the project schedule.
- Track critical/long-lead items: Maintain a tracker for high-risk materials (e.g., structural steel, MEP equipment, finishes) and escalate risks early.
- Supplier follow-up and coordination: Communicate regularly with vendors on manufacturing status, readiness, dispatch, and expected arrival.
- Logistics and delivery coordination: Arrange/confirm shipping, delivery windows, site access requirements, unloading needs, and delivery documentation.
- Site receiving support: Coordinate with on-site (project) owner's representative team to ensure proper receiving; resolve discrepancies (shortages, damages, wrong items).
- Documentation control: Maintain complete records (requisitions, quotes, POs, acknowledgments, packing lists, delivery notes, invoices, warranties, certificates).
- Manage changes and substitutions: Support approved material substitutions, PO revisions, and change documentation as needed.
- Issue resolution and claims: Handle late deliveries, partial shipments, damage claims, returns, and credit notes; follow corrective actions with suppliers.
- Compliance and spec adherence: Verify items meet specifications, approved brands, and required quality/HSE documentation.
- Reporting: Provide weekly/daily status reports on open POs, delayed items, and risks to procurement and project teams.
Key Performance Indicators (KPIs)
- On-time delivery (OTD) / on-time-in-full (OTIF)
- PO cycle time and expediting lead time
- Number/severity of material-related schedule impacts
- Aging of open POs and closure rate
- Supplier performance (late deliveries, responsiveness, quality issues)
Reporting Line / Interfaces
- Reporting to owner's procurement manager.
- Works closely with project management, site/construction team, warehouse/logistics, engineering, QA/QC, and suppliers.
Job Qualifications (Education, Experience, and Skills)
- Minimum education: bachelor's degree in business, supply chain management, or logistics.
- Minimum of three (3) years of procurement experience in renewable energy firms. Five (5) years of procurement experience in renewable energy firms is preferred.
- Experience in procurement/expediting within construction or industrial projects.
- Strong follow-up, organization, and stakeholder management skills.
- Ability to read and understand POs, delivery terms (Incoterms), lead times, and basic technical specs.
- Proficiency in MS-Excel.
- Strong communication and problem-solving; ability to work under schedule pressure.
