Orthodontic Treatment Coordinator

Patient Experience & Treatment Coordination Responsibilities The Treatment Coordinator plays a key role in creating a positive and supportive experience for every patient from their first interaction with our office through the start of treatment. Responsibilities Collecting and reviewing information from new patients. Welcoming patients and families to the practice and introducing them to the treatment team. Educating patients and parents about treatment recommendations, financial arrangements, and available payment options. Maintaining communication with patients and families regarding appointments, payment schedules, and treatment-related questions. Assisting with insurance documentation and submissions as needed. Serving as a communication bridge between patients, doctors, and team members to ensure questions and concerns are properly addressed. Handling incoming calls from prospective patients to provide accurate information and create a positive first impression (when available). Verifying insurance benefits after the initial phone conversation or before scheduled consultations to avoid unexpected surprises. Preparing treatment plans and financial estimates after insurance information has been reviewed. Serving as the primary point of contact for patients throughout the consultation process and until treatment begins. Contacting scheduled consultation patients prior to their appointment to confirm attendance and answer last‑minute questions. Coordinating treatment starts, collecting payments, and following up with patients who are considering treatment. Welcoming patients upon arrival and assisting with incoming calls when needed. Maintaining a professional appearance and readiness to assist patients throughout the day. Entering contracts, treatment information, and documentation into Dolphin Management Software. Uploading patient photographs and maintaining organized electronic records. Ensuring patient records are accurate and maintained in compliance with HIPAA regulations. Educating patients regarding procedures, treatment expectations, and post‑treatment instructions when appropriate. Working closely with the front office team to ensure smooth daily operations and outstanding patient service. Assisting with scheduling, insurance verification, and other administrative duties as needed.
