About the Role:

The Payroll Specialist plays a critical role in ensuring accurate and timely processing of payroll for employees across the organization using the ADP payroll system. This position is responsible for maintaining compliance with federal, state, and local payroll regulations while managing payroll data integrity and confidentiality. The specialist will collaborate closely with HR, finance, and benefits teams to resolve payroll discrepancies and support audits. They will also be tasked with generating detailed payroll reports and providing insights to support strategic decision-making. Ultimately, this role ensures employees are compensated correctly and on schedule, contributing to overall employee satisfaction and organizational efficiency.

Minimum Qualifications:

• High school diploma or equivalent; Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
• Minimum of 2 years of experience processing payroll using ADP or similar payroll software.
• Strong understanding of payroll processes, tax regulations, and compliance requirements in the United States.
• Proficiency in Microsoft Excel and other office productivity tools.
• Excellent attention to detail and ability to maintain confidentiality of sensitive information.

Preferred Qualifications:

• Certification such as Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC).
• Experience in the transportation industry. 
• Experience working in a multi-state payroll environment.
• Familiarity with HRIS systems and integration with payroll platforms.
• Strong analytical and problem-solving skills.
• Effective communication skills to interact with employees and cross-functional teams.

Responsibilities:

• Process bi-weekly and monthly payroll accurately and on time using the ADP payroll platform.
• Maintain and update employee payroll records, including new hires, terminations, salary changes, and deductions.
• Ensure compliance with all applicable payroll laws and regulations, including tax filings and reporting requirements.
• Investigate and resolve payroll discrepancies and employee inquiries promptly and professionally.
• Collaborate with HR and finance departments to reconcile payroll data and support internal and external audits.
• Generate and distribute payroll reports and summaries to management and relevant stakeholders.
• Stay current with changes in payroll legislation and ADP system updates to ensure continuous compliance and efficiency.

The Payroll Specialist will utilize their expertise in ADP payroll software daily to accurately process employee compensation and benefits. Attention to detail and analytical skills are essential for identifying and resolving discrepancies and ensuring compliance with complex payroll regulations. Proficiency in Excel and reporting tools enables the specialist to generate comprehensive payroll reports that inform management decisions. Communication skills are critical for collaborating with HR, finance, and employees to address payroll inquiries and maintain smooth operations. Additionally, staying updated on payroll legislation and system enhancements ensures the payroll process remains efficient and compliant.
