Representative Payee Specialist

Relationship

Report to: Chief Financial Officer, Business Services Coordinator

Supervises: N/A

Other Internal Contacts:  All MCE staff and Persons-served

External Contacts: Vendors, Persons served by MCE as Rep Payee, Guardians, Case Managers, Social Security, Landlords, etc.

Work Environment: 90% internal; 10% community contacts

FLSA Status: Non-exempt

Job Summary

Responsible for all Representative Payee accounts that are assigned to Magic City Enterprises by the Social Security Administration. Use the benefits for the current and future needs of supported individuals. Ensure the beneficiary has no unmet needs while working with the individual and the IPC teams to meet financial success. Also responsible for reporting any changes that could affect eligibility for payments. Account for all funds received and spent, conserve any unspent funds appropriately, comply with accounting and reporting responsibilities, and keep detailed records that document how the funds were spent on behalf of the beneficiary. Learn and maintain accurate guidelines from MCE policies, State and Federal agencies to ensure individuals retain benefits. Provides back-up support and cross trains to perform other Business Services duties and any other accounting functions as assigned.

Job Qualifications:

1. High School education or equivalent. Prefer college level accounting course work.
2. Two years’ experience in bookkeeping.
3. Knowledgeable about people with developmental disabilities
4. Exceptional organizational skills
5. Fluency in Microsoft Office 365
6. Exemplary customer service skills
7. Great verbal and written communication skills
8. Experience with electronic record keeping
9. Valid Wyoming driver’s license and insurable

Essential Functions:

Integrity

1. Recording and balancing accounts.
2. Monitoring pre-paid debit cards.
3. Interpretation of social security benefits.
4. Assisting individuals with budgeting of available funds.
5. Works with Social Security, Medicaid, and other government agencies.
6. File timely reports.
7. Assists with all audits to include HUD, Social Security, Medicaid, Source America, annual financial audits, and others as assigned.
8. Assures the confidentiality of all representative payee records.
9. Balances and reconciles representative payee accounts monthly or as assigned.
10. Prepares, posts, verifies, and records payments and transactions related to representative payee accounts.
11. Receives invoices and makes payments for assigned accounts.
12. Assures that all Magic City policies and procedures are met.
13. Places and receives phone calls for the Business Services Department.
14. Serve as a good role model to persons-served, program staff, and any other internal or external contacts, including modeling a positive attitude when representing the company and/or its programs.
15. Keeps files up-to-date and secure; maintains confidentiality regarding all information on persons-served programming.
16. Addresses agency concerns appropriately and uses grievance procedure when needed in a time of conflict.

1. Is fully familiar with, and/or knows where to find policies, procedures, and guidelines for Magic City Enterprises.
2. Attend required staff meetings and assigned in-service training.
3. Maintains training and certification in accordance with MCE policy, State standards, and individuals-served needs.
4. Complete assigned monthly drills and inspections
