Job Description

Provide accounting and administrative support to the Accounting Manager and company leadership. This position is responsible for maintaining accurate financial records, supporting project accounting functions, assisting with month-end processes, and serving as a key resource for administrative operations. The ideal candidate is detail-oriented, highly organized, demonstrates strong problem-solving abilities, and can work independently while collaborating across departments.

Essential Functions of the Job:

Support the company’s accounting infrastructure in Deltek VantagePoint and serving as support to project managers by performing the following tasks:

• New project setup (POFs)
• Monitor project financial performance and assist project managers with financial inquiries. Perform project data updates including budget, billing terms, dates, backlog, and closure
• Unit data entry: field, mileage, copy counts, and survey equipment
• Accounts Payable: vendor invoice entry, W9 and certificate of insurance collection, and coordination
• Accounts Receivable: recording deposits and following up on past due aged accounts, filing liens as needed, escalation to management as needed.
• Entering expense reports and credit card transactions
• Preparing, finalizing, and distributing project invoices
• Reporting
• Spreadsheet updates for project managers and company management
• Records management
• Answer shared e-mail inbox addressing project manager and client’s needs related to accounting as they arise.
• Assist with monthly and year-end accounting close processes.
• Review financial data for accuracy and identify discrepancies requiring correction.
• Ensure compliance with company accounting procedures and internal controls.
• Research and resolve accounting issues while making recommendations for process improvements.

Additionally, this position serves on the administrative support staff team and will assist other team members as coverage is needed in some of the following tasks:

• Serving as a professional point of contact for clients, vendors, and employees.
• Managing incoming communications and directing requests appropriately.
• Checking mail and distributing
• Assisting in keeping office clean, professional setting, and stocked with supplies
• Coordinating travel, meetings, and office activities.
• Maintaining company records and documentation.
• Assist with office fleet management

Physical Demands (if any):

The ability to lift up to twenty (20) pounds.

Job Requirements

Required Knowledge, Skills, and Abilities:

Understanding of accounting principles and financial recordkeeping in preferred such as experience with Accounts Payable, Accounts Receivable, project accounting, and account reconciliations.
Typing, organization, ability to prioritize tasks, good written and oral communication. General knowledge and experience with Microsoft office suite including Outlook, Word, Excel, and Power Point.
Accounting Manager (supervisor) is in the Helena Office; must be able to work efficiently without direct supervision.

Required Education and Experience:

• Experience working in a professional office setting.
• Associate’s degree or 2 years of similar experience.
• Must possess a valid driver's license.
