Accounting Specialist

What you’ll be doing Accounts Payable Maintain subcontractor/vendor information in the Company’s project management and accounting systems including W9, insurance and worker's compensation compliance. Assist with annual insurance audit. Set up projects, enter commitments and change orders and invoices in the Company’s project management system. Work with Project Managers to resolve issues with subcontractor invoices, project budgets and retainage. Maintain the integration between the Company’s project management and accounting systems, including monthly reconciliations between the two systems. Prepare weekly aging report to ensure compliance with documentation requirements such as W9, insurance, worker's compensation and lien releases. Reconcile project commitments and invoice retainage, as appropriate. Accounts Receivable Work with Corporate Controller, Project Administrator and Project Managers to ensure timely and accurate execution of the draw process. Prepare requisite draw documents according to project specifications. Reporting Assist Corporate Controller to prepare Construction Summary, cash position and related reports, as appropriate. Other Duties Prepare and enter payroll job costing entries. Oversee the intercompany invoicing process. Reconcile travel and entertainment expenses. Other duties as assigned, including backup and support other Accounting Specialists, as necessary. Perform other duties as assigned. What you need High‑school diploma or GED equivalent. Associate’s degree in Accounting or a related field is preferred. Minimum one (1) year of accounting experience. Accounting experience in construction, real estate, and/or property management is preferred. Proficient in computer systems, including Microsoft Excel, Word, Outlook and accounting software. Proficiency in QuickBooks, Sage, DocuSign and/or Procore is preferred. Ability to work both independently and as part of a team. Reliable transportation, valid driver’s license and motor vehicle insurance.
