Salary Range:  The annual salary for this position is $60,500 and may be up to 5% higher depending on relevant experience, education, and certifications when compared to others doing substantially similar work.

Job Summary:

The Academic Support Specialist provides office, clerical, and operational support for Nursing, Nurse Aide, Emergency Medical Services, and Law Enforcement Academy in the Southwest region. Under the program oversight and regulatory authority of designated programs leaders, this position schedules activities, maintains audit ready student/employee and program files, prepares standard reports, and coordinates logistics for affiliation agreements and reviews.

Duties & Responsibilities:

Essential Functions
• Maintains confidential student and employee files.
• Coordinates data entry in compliance platforms, tracks receipt of required documentation (e.g., licenses, certifications, trainings) and prepares status reports for program leadership.
• Prepares, routes, and tracks facility affiliation/clinical agreements per college policy.
• Coordinates site onboarding paperwork and annual training attestations, escalating variances to program leadership.
• Coordinates evidence gathering, schedules, and logistics for internal reviews and external site visits.
• Compiles standard exhibits and minutes, maintains audit ready folders, and prepares drafts of routine reports at the direction of program leadership.
• Schedules classrooms, meetings, tutoring, orientations, and events.
• Maintains department calendars and sends timely notices, agendas, and minutes.
• Organizes simulations/practicals/capstones/advisory meetings.
• Coordinates room setups, materials, and vendor/catering orders pursuant to state fiscal rules.
• Collaborates with Lab/Program Coordinators to create/maintain tracking for course materials/equipment, place approved orders, and reconcile per state fiscal rules.
• Maintains meeting folders and FLAC records for SW faculty/instructors in collaboration with Pueblo Campus.
• Coordinates adjunct and hourly onboarding packets and checklists.
• Tracks completion of required items and routes to HR/Program leadership for review and approval.
• Manages travel arrangements and reimbursements according to state fiscal rules.
• Supports selective admissions logistics (application collection, data entry, interview scheduling) in collaboration with CTE Advisor, AEA, program leaders and faculty coordinators.
• Serves as operational point of contact department inquiries from students, faculty, clinical sites, and community partners.
• Prepares agendas/minutes, maintains distribution lists, and ensures timely, professional communication with community partners.
• Manages day to day coordination, tracking, and documentation in coordination with program leadership retaining all approval, compliance, and accreditation decision making authority.
• Maintains site level administrative processes that are sufficient in number, time, and quality to support program delivery, student learning, and external reviews.
• Assists with recruitment and retention efforts conducted by academic departments.

•Completes all required compliance training within the established timeline.
•Serves on committees and other groups as assigned.

Competencies/KSAs:

• Knowledge of laws, accreditation standards, and best practices pertaining to specialized healthcare education regulations, including HIPAA, FERPA, and compliance management.
• Proficiency with Microsoft Office; working knowledge of Ellucian Banner and EAB Navigate.
• Able to lift 25 pounds.
• Able to read and communicate in English.
• Mobility around campus.

Minimum Qualifications:

Education
Bachelor’s degree from a regionally accredited institution or an Associate’s degree and two years of related professional experience
Experience
•At least 2 years of experience in higher education.
Travel
•Infrequent travel to Pueblo, Fremont or Durango, CO locations
•Conferences within or outside of Colorado
•Various locations within the college’s service area
Schedule
•State business hours are Monday-Friday, 8:00am – 5:00pm
•Infrequent weekend and/or evening hours required

Selection Process:

PERA retirees are not eligible to fill this position except on an interim basis and only in accordance with PERA work provisions.
