Representative Job Duties

• Assists the City Clerk and Deputy City Clerk with the election process.
• Provides customer service to internal and external customers; addresses and resolves customer questions when possible and refers complex inquiries, requests, or complaints to the appropriate staff.
• Reviews election laws and State Bureau of Elections policies; recommends new procedures as necessary. Drafts election manuals and documents for election workers and officials; assists in designing required forms.
• Serves as project leader for a variety of activities and other special projects as assigned.
• Performs administrative tasks related to the voter registration system and the Qualified Voter File (QVF).
• Coordinates, schedules, and trains election inspectors; arranges polling locations and voting equipment.
• Composes routine correspondence; proofreads and edits documents; enters, scans, updates, and maintains information in spreadsheets, databases, and reports; sorts, copies, and distributes a variety of correspondence.
• Works with the City Clerk and Deputy City Clerk to provide input on departmental decisions; maintains the department's election-related filing and records system.
• Performs other duties as assigned.

Job Requirements - As Determined By the City Of Southfield

• High school diploma or GED equivalent required; Associate Degree in Business, Accounting, or a related field preferred.
• Minimum of four (4) years of related experience required. All four (4) years must include experience working with the Michigan Qualified Voter File and Michigan Qualified Voter File Refresh. Certification in Election Administration is a plus.
• Experience setting up and using voting equipment, including EPBs.
• Proficient in Microsoft Word, Excel, and PowerPoint; ability to learn election software applications.
• Demonstrated dependability, reliability, and flexibility; good attendance and punctuality are essential.
• Must be available, as needed, throughout the year for evening and weekend meetings, as well as during the week and on weekends throughout election season.
• Effective listening, written, and oral communication skills; excellent organizational and analytical skills; ability to simultaneously manage multiple project deadlines in a prioritized manner. Must maintain confidentiality.
• Highly effective communication skills for training and presentations, with a positive public service attitude.
• Ability to build and maintain working relationships with the public, staff, elected officials, other governmental agencies, and municipal constituents. Must be a self-starter and work independently after receiving initial guidance. Ability to work tactfully under stressful conditions and the pressure of deadlines and changing priorities.
