Project Coordinator

Work with the Project Managers to proactively plan and coordinate both scheduled and emergency work – allocating resources as needed. Work closely with the General Foreman on day-to‑day job tracking (LME Accuracy, Daily Schedule Accuracy, Receipt Tracking). The main objective of this position is to coordinate and track work accurately and efficiently as well as assist the Project Managers as needed. Responsibilities Work directly with Project Managers to support scheduled and emergency work. Work directly with General Foreman – assisting with USA entry, purchasing materials, scheduling subcontractors as needed per GF request. Enter all pertinent job information into Smart Sheets. Respond in a timely manner to all incoming job requests from the company’s Support Email and phone calls. Prepare job packets to pre‑field work for GF. Assist with scheduling all incoming work or RFI changes. Review Daily reports against LMEs as they are submitted – resolving any conflicts. Assist with and organize all project documentations, RFIs, invoicing, submittals, timesheets and drawings. Work with other coordinators to schedule work and confirm equipment. Assist with tracking manpower needs. Assist with employee access to jobsites, vetting processes, and employee certification. Proactively review incoming projects and work with coordinators to resolve any questions prior to handing the job off to the GF. Assist with STORM procedures as follows. Track all projects in the “Storm Tracker” Smart Sheet Track all job costs/resources related to storm work – (hotels, subcontractors, material, manpower, equipment) Relay daily resource allocation to logistics Actively update Storm Room Resource Allocation Board Submit USAs and distribute to the team. Assist with preparing agendas for weekly project scheduling meetings and address any issues.
