Assistant Athletic Director

The Assistant Athletic Director works closely with the Athletic Director, coaches, and athletes across the Lower, Middle, and Upper Schools. This role plays a key part in ensuring the smooth operation of the athletic program by managing logistics for contests, events, equipment, and facilities. The Assistant Athletic Director also assists with college recruitment efforts for athletes, organizes major athletic events, and provides support in coaching and evaluating the athletic staff.

This position requires flexibility, strong organizational skills, and the ability to work with various school departments and external entities to support the overall athletic program. The Assistant Athletic Director must be a dedicated professional with a passion for athletics, youth development, and fostering a positive environment for all student-athletes.

Primary Responsibilities:

Scheduling & Event Coordination:
  • Schedule and confirm Lower School, Middle School, and Upper School athletic contests (both home and away), ensuring all logistics are in place.
  • Coordinate the scheduling and confirmation of officials for athletic contests and ensure all necessary payments are processed.
  • Serve as Administrator in Charge at home events, ensuring proper coverage and working with the Athletic Director to meet event needs.
  • Schedule and oversee major athletic events, including athletic awards programs, preseason media days, and senior night games.
  • Organize all team travel, including transportation, accommodations, and logistics for both in-town and out-of-town events.
Facility & Equipment Management:
  • Manage inventory, storage, and maintenance of sports equipment and uniforms.
  • Assist in ordering and sizing of sports equipment and uniforms for teams.
Coaching & Program Support:
  • Assist in evaluating coach performance and providing feedback for development.
  • Coach as needed
Compliance & College Recruitment Support:
  • Maintain records of coach and students' compliance with TSSAA, St. Mary's, and other relevant governing bodies' regulations.
  • Collaborate with college counselors to assist athletes in their college applications and recruitment processes.
  • Support the implementation of youth sports programs through Auxiliary Programming for younger students.
General Program Administration:
  • Set dates for tryouts and practices, ensuring alignment with the overall athletic calendar.
  • Input and update all athletic contests and events in the school's Google Calendar and website.
  • Attend conferences and meetings as needed, representing the athletic department at school and external events.
  • Be familiar with and uphold the TSSAA and other governing bodies' bylaws and regulations.
  • Coordinate with the St. Mary's communication department to support the school magazine, weekly newsletter, and various social media channels.
Qualifications:

Educational Background:
  • Bachelor's degree (B.A. or B.S.) required; Master's degree (M.S.) in Physical Education, Kinesiology, Sports Management, or a related field preferred.
Experience:
  • 3-5 years of experience in a school or athletic department setting, with a preference for experience in an all-girls school environment.
  • Coaching experience preferred
  • Previous experience as an athlete is required, with a solid understanding of sports culture and the "language of sports."
  • Managerial experience preferred, especially in an athletic department or high-demand office environment.
Skills & Personal Attributes:
  • Strong organizational, communication, and time-management skills.
  • Ability to work a flexible schedule, with substantial evening and weekend hours required for events, contests, and travel.
  • Excellent interpersonal skills and the ability to work collaboratively with students, parents, coaches, and faculty.
  • A passion for athletics, youth development, and fostering a positive, inclusive environment for student-athletes.
Working Conditions:
  • The position requires the ability to work both independently and as part of a team in a fast-paced, dynamic environment.
  • Occasional evening and weekend work is required to accommodate athletic contests, events, and team travel.
Physical Demands:

While performing the duties of this role, you must be able to:
  • Sit, turn, bend, reach, walk, talk, and hear while interacting with faculty, staff, and others in person and by phone.
  • Work in a high-stress environment with diverse challenges, deadlines, and contacts.
  • Work at a desk and computer.
  • Occasionally lift up to 50 pounds.
  • Traverse school facilities, including climbing stairs.
  • Lead students to safety in the event of an emergency.
