The Branch Administrator plays a key role in supporting daily branch operations and serves as the first point of contact for employees, clients, and vendors. This role requires strong organization, attention to detail, and the ability to manage a high volume of administrative tasks while supporting Finance, HR, and Operations.
Key Responsibilities
· Serve as the front desk point of contact for calls, visitors, and general inquiries
· Manage high call volume and route communications appropriately
· Perform high-volume data entry with accuracy and efficiency
· Support Finance functions, including invoicing, collections, and reporting
· Assist with HR processes, including onboarding paperwork and employee records
· Maintain and update data in systems such as Aspire, Acumatica, or similar
· Create and manage reports (weekly, monthly, and as needed)
· Support Account Managers with ticket tracking and service updates
· Assist with contracts, renewals, and project documentation
· Maintain organized records and support overall branch operations
· Assist with additional administrative tasks and projects as needed
Qualifications
· 2+ years of administrative experience (landscape, construction, or service industry preferred)
· Bilingual in Spanish and English (required)
· Experience with CRM or financial systems (Aspire, Acumatica, or similar)
· Proficient in Microsoft Office (Excel, Word, Outlook)
· Strong organizational skills and attention to detail
· Ability to manage multiple priorities in a fast-paced environment
· Strong communication and customer service skills
Additional Information
· Prolonged periods of sitting and working on a computer
· Ability to lift up to 15 lbs occasionally
· Must be able to work in a fast-paced environment
· Background check and/or drug screening may be required in accordance with company policy and applicable laws
• Full-time position, Monday through Friday (schedule may vary based on business needs)
• Flexible start time between 6:00 a.m. and 8:30 a.m.
• Standard workday is typically 8 hours, with occasional overtime as needed
• Must be available to support branch operations during core business hours
