Maintenance Inventory Administrator

The Maintenance Inventory Administrator is responsible for organizing, tracking, ordering, receiving, and maintaining maintenance parts, supplies, and related records for the facility. This role supports the maintenance team by ensuring parts and materials are readily available, properly stocked, and accurately documented. The ideal candidate is highly organized, detail-oriented, knowledgeable with maintenance practices and able to work in an industrial environment. This role will manage inventory flow, purchase orders, and shipping/receiving activities.

Key Responsibilities

• Maintain a high level of organization within the maintenance inventory system, parts room, and warehouse area.
• Perform file maintenance for inventory records, purchase orders, packing slips, invoices, vendor information, and other maintenance-related documentation.
• Complete and submit purchase orders (P.O.s) for maintenance parts, supplies, tools, and equipment as directed.
• Receive shipments, verify quantities and condition of incoming items, and ensure proper documentation and communication of received goods.
• Travel to local vendors for parts sourcing and pickups.
• Handle parts ordering and tracking, including monitoring open orders, communicating with vendors, and following up on delivery timelines.
• Conduct regular cycle counts and assist with physical inventory audits of maintenance parts and supplies.
• Work closely with maintenance personnel to identify stock needs, urgent part requirements, and reorder points.
• Keep storage areas clean, neat, and organized to support safe and efficient operations.
• Follow all company safety procedures and maintain awareness of hazards in an industrial scrap yard environment.
• Other tasks as directed by the Maintenance Manager

Requirements

• Highly organized, able to multitask effectively
• Attention to detail
• Strong communication skills
• Computer savvy, able to easily navigate different apps including Microsoft Office.

Working Conditions

• Ability to lift, carry, and stock items weighing up to 20 pounds on a regular basis.
• Ability to climb stairs to access the warehouse area to locate, retrieve, stock, and organize parts.
• Ability to stand, walk, bend, reach, and move throughout the maintenance shop, warehouse, and yard as needed.
• Must be able to work in an active industrial / metal recycling environment, including exposure to dust, noise, temperature changes, and heavy equipment traffic.
• Must wear required personal protective equipment (PPE) as designated by company policy.
