Position Overview

We are seeking a professional, organized, and dependable Administrative Assistant to join our financial advisory office. This individual will play an important role in supporting our advisors and staff while helping provide an exceptional experience for our clients.

The ideal candidate is detail-oriented, personable, comfortable working in a professional office environment, and able to manage multiple priorities while maintaining a high level of confidentiality.

Key Responsibilities

• Prepare meeting rooms and materials for client meetings
• Assist advisors with daily administrative tasks
• Prepare, scan, organize, and maintain client documents and records
• Assist with account paperwork, forms, and document processing
• Follow up on outstanding paperwork and administrative items
• Maintain accurate client information within office systems
• Communicate professionally with clients, custodians, and other financial institutions
• Help coordinate client events and office activities
• Maintain strict confidentiality of client and company information
• Perform additional administrative duties as needed

Qualifications

• Previous administrative, receptionist, or customer service experience a must
• Financial services experience is a plus, but not required
• Series 6 or 7 license is a plus
• Strong organizational skills and attention to detail
• Excellent written and verbal communication skills
• Professional and friendly demeanor
• Ability to prioritize tasks and manage multiple responsibilities
• Comfortable working with computers and learning new software
• Proficiency with Microsoft Outlook, Word, and Excel preferred
• Ability to handle sensitive and confidential information appropriately
• Dependable, punctual, and team-oriented
