Grayson Search Partners is seeking a detail-oriented and highly organized Accounts Payable Specialist for a client in Chicago, IL, looking for a professional with strong experience in high-volume invoice processing and expense management.

This opportunity is ideal for an AP professional who thrives in a fast-paced environment, manages a substantial volume of transactions, and consistently maintains accuracy while meeting strict deadlines. The role combines traditional accounts payable responsibilities with employee expense management and vendor invoice processing.

The successful candidate will bring hands-on experience managing high transaction volumes, resolving discrepancies, and balancing competing priorities in a deadline-driven environment. The position will begin with an onsite training period, transitioning to a hybrid schedule of three days onsite and two days remote per week upon completion of training.

Key Responsibilities

• Process high volumes of vendor invoices accurately and efficiently, ensuring proper coding, approvals, and supporting documentation.
• Manage employee expense reports, corporate card transactions, and reimbursements in accordance with company policies.
• Review invoices and expense submissions for accuracy, completeness, appropriate approvals, and policy compliance.
• Perform three-way matching of purchase orders, invoices, and receiving documentation, as applicable.
• Investigate and resolve invoice discrepancies, duplicate invoices, payment issues, and expense-related inquiries.
• Ensure timely processing of vendor payments and employee reimbursements.
• Reconcile vendor statements and investigate outstanding balances and discrepancies.
• Maintain accurate accounts payable records and supporting documentation.
• Communicate with vendors, employees, and internal departments to resolve outstanding issues.
• Assist with month-end close activities, including accruals and account reconciliations.
• Identify opportunities to streamline AP workflows and improve expense processing efficiency.
• Support internal controls, audit requests, and compliance with accounting policies and procedures.

Qualifications

• Previous Accounts Payable experience, preferably in a high-volume environment.
• Demonstrated experience processing large volumes of invoices and managing employee expense reports.
• Strong understanding of AP processes, invoice coding, payment cycles, and expense reimbursement procedures.
• Experience with vendor reconciliations, invoice matching, and discrepancy resolution.
• Proficiency with ERP systems and expense management platforms.
• Strong Excel skills and the ability to work with large volumes of financial data.
• Excellent organizational skills and the ability to prioritize competing deadlines.
• High attention to detail, accuracy, and productivity.
• Strong communication, problem-solving, and customer service skills.
• Ability to work independently and collaboratively in a fast-paced environment.

Compensation

Pay Rate: $25–$28 per hour, depending on experience.
