Job Title: Auditor Job Description
The Auditor supports the lease administration function by reviewing leased and owned property documents, maintaining accurate location and financial data, and ensuring that all contractual and financial obligations are correctly captured and processed. This role focuses on auditing lease-related charges, validating landlord invoices, and safeguarding the accuracy of financial obligations across one or more real estate portfolios. The position also supports subtenant processes, prepares reports for client review, and contributes to continuous process improvement and business expansion opportunities.
Responsibilities- Review, abstract, and perform quality control data audits of leased and owned property documents, ensuring that all lease information and data are accurately updated and maintained in technology information systems.
- Ensure proper document management for all leased, owned, and associated documents, including file retrieval and storage, document scanning, and opening and distributing mail.
- Review client invoices in accordance with lease requirements, collect appropriate supporting documentation from landlords and billing authorities, and verify the accuracy of all calculations.
- Conduct desktop audits of year-end Common Area Maintenance (CAM), insurance, and real estate tax reconciliations, interpreting and analyzing all charges for accuracy in line with lease documents.
- Identify discrepancies in landlord billings and reconciliations and lead dispute resolution directly with landlords to ensure accurate charges.
- Ensure the accuracy of clients’ financial obligations and support the timely processing of monthly rent payments.
- Oversee and manage the subtenant process, including recording and collecting monthly rent and managing pass-through invoices and year-end reconciliations.
- Communicate frequently with internal and external partners, notify clients of critical dates, and support adherence to real estate policies and procedures.
- Assist with general inquiries related to leased and owned properties, providing clear and accurate information to stakeholders.
- Request and process certificates of insurance as required by lease documents.
- Review estoppels and related documents against lease terms to confirm consistency and accuracy.
- Exercise sound judgment and logical reasoning when responding to inquiries from clients and landlords regarding leased and owned properties.
- Maintain productive relationships with landlords and subtenants in accordance with lease and sublease agreements.
- Establish task priorities, create schedules, and manage activities to meet portfolio objectives and deadlines.
- Manage multiple projects and priorities effectively in a fast-paced environment.
- Assist managers with preparing timely and accurate financial reports and critical date reports for client presentations.
- Identify and record savings opportunities, highlight exceptions, investigate root causes, and recommend practical solutions.
- Assist with or oversee special projects as requested by clients or leadership, contributing to portfolio and process improvements.
- Partner with managers and transition teams to establish new accounts quickly and smoothly.
- Assist managers in creating and continuously updating process playbooks to standardize and improve lease administration workflows.
- Provide guidance and direction to other portfolio coordinators on various tasks and projects to ensure consistency and quality.
- Train new associates on systems, processes, and best practices related to lease administration and auditing.
- Identify and pursue business expansion opportunities with existing clients, helping to develop and grow these opportunities.
- Stay current with industry standards and trends in commercial real estate, lease administration, and auditing practices.
- At least 2 years of experience in real estate auditing or a closely related field.
- Expertise in cost analysis, including gross-up calculations and review of ledgers, contracts, and other financial books and records.
- Ability to understand and interpret complex real estate lease terminology.
- Working knowledge of financial terms and concepts relevant to commercial real estate.
- Strong proficiency with MS Office Suite, including MS Word, Excel, and PowerPoint.
- Demonstrated customer service skills with a focus on responsiveness and client satisfaction.
- Strong oral and written communication skills, with the ability to convey complex information clearly.
- Effective organization skills, with the ability to manage multiple tasks and meet deadlines.
- Analytical skills to interpret financial data, identify discrepancies, and draw accurate conclusions.
- Technical proficiency in using lease administration and auditing tools and systems.
- Research skills to investigate financial and lease-related issues thoroughly.
- Strong interpersonal skills to build and maintain positive relationships with clients, landlords, subtenants, and internal teams.
- A strong sense of urgency and the ability to act quickly and decisively when issues arise.
- High school diploma or GED.
- Bachelor’s degree preferred in any field; degrees in business, finance, real estate, or accounting are ideal.
- Experience in commercial real estate environments, particularly with lease administration and auditing, is highly beneficial.
- Familiarity with lease abstracts and the ability to interpret and summarize lease documents efficiently.
- Experience with real estate and lease management systems such as ProLease and Yardi is a plus.
- Prior experience conducting audits of CAM, insurance, and real estate tax reconciliations.
- Ability to create, maintain, and improve process documentation and playbooks.
- Experience training new team members and providing guidance to colleagues.
- Demonstrated ability to identify and support business expansion opportunities with existing clients.
This role operates in a professional office environment that supports commercial real estate and lease administration activities. The position routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Work is primarily computer-based, involving frequent use of MS Office applications and lease administration systems such as ProLease and Yardi. The environment is fast-paced and deadline-driven, requiring the ability to manage multiple priorities while maintaining accuracy and attention to detail. The role involves regular collaboration with internal teams and external stakeholders through email, phone, and virtual meetings.

Pay and BenefitsThe pay range for this position is $28.00 - $28.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
