Care Coordinator – Part Time Location: Phoenix, Arizona, United States Overview Barrow Brain and Spine is a physician‑owned specialty practice focused on neurosurgery and advanced spine care. With 27 neurosurgeons, three physiatrists, and more than 8,000 surgeries annually, the practice serves over 21,000 patients each year and directs the Neurosurgery Residency Program at St. Joseph’s Hospital in Phoenix, Arizona. Responsibilities Register new patients in the electronic medical record (EMR) prior to scheduling, capturing demographic and insurance information. Ensure all initial consultation notes, lab slips, radiology, and pathology reports are available to the physician before patient arrival. Open chart encounters in Athena and maintain patient records with historical reference. Facilitate patient flow by greeting and rooming patients. Takes vitals and records assessments in the patient chart for physician review. Enter orders and e‑prescribe information, creating clinical visit summaries. Schedule follow‑up appointments as needed. Communicate with physician staff to ensure continuity of care. Perform clinic room inventories and restock supplies as necessary. Prepare and run daily clinic operations with limited oversight from the Lead Care Coordinator or Practice Operations Supervisor. Assist Lead Care Coordinators and Practice Operations Supervisors with order entry as needed. Manage recall lists for physicians, create diagnostic reviews, complete orders as testing is received, and follow‑up on non‑compliant orders. Screen incoming telephone calls for physicians, recording and transmitting messages, scheduling, and announcing patients and visitors. Arrange referrals to other health care providers and schedule appointments for consultations, x‑rays, lab tests, physical therapy, MRI, CT scans, etc. Maintain patient confidentiality and comply with all HIPAA guidelines. Keep office equipment operating, troubleshoot breakdowns, maintain supplies, perform preventive maintenance, and coordinate repairs. Participate in continuing education opportunities. Provide coverage to other positions as requested. Support the BBS Compliance program by attending annual training and following compliance guidelines. Act as an ambassador of the BBS practice, providing exemplary customer service to patients, families, teammates, vendors, and visitors. Perform other duties as assigned. Qualifications High School Diploma or GED required; Bachelor’s Degree a plus. One to two years of experience in a medical setting. Excellent verbal and written communication skills. Strong organizational skills and ability to prioritize. Passionate about creating a superior patient experience and fostering a culture of excellence.
