- Facilities Operations and Maintenance
- Manage the daily facilities and physical plant needs of OMI facilities and associated operational locations.
- Coordinate preventive, scheduled, corrective, and emergency maintenance activities.
- Monitor building systems and coordinate repairs involving HVAC, electrical, plumbing, mechanical systems, doors, security systems, and other building infrastructure.
- Conduct routine inspections of facilities and identify maintenance, safety, repair, and replacement needs.
- Track identified facility issues from initial report through completion and maintain appropriate documentation of status, follow-up, and resolution.
- Coordinate work performed by UNM Facilities Management, contractors, vendors, and other service providers.
- Participate in facility improvement, renovation, capital renewal, equipment replacement, and space-planning projects.
- Assist leadership with prioritizing facility needs and developing short- and long-term replacement and improvement plans.
- Maintain appropriate documentation, records, service histories, warranties, contracts, and inspection information related to facilities and equipment.
- Serve as a primary OMI point of contact with applicable UNM facilities and support departments.
- Maintain routine meetings and follow-up processes with Safety and Loss Prevention/SLD and other University partners, as appropriate.
- Develop and maintain productive working relationships with University service departments and ensure OMI requests are communicated clearly, documented, and appropriately escalated when necessary.
- Track outstanding University work orders and facility-related projects and communicate status and barriers to OMI leadership.
- Participate in inspections, walkthroughs, corrective-action planning, and follow-up activities.
- Promote a strong culture of workplace safety and environmental compliance.
- Coordinate with UNM Environmental Health and Safety and other regulatory offices regarding applicable reporting, inspections, corrective actions, and compliance requirements.
- Ensure appropriate processes are maintained for chemical, biological, hazardous, and regulated waste.
- Coordinate scheduled and as-needed chemical and biohazardous waste removal with approved vendors, including Clean Harbors or other University-approved providers.
- Maintain applicable waste manifests, service records, inspection documentation, and regulatory records.
- Ensure spill response carts and related emergency supplies are appropriately stocked, inspected, organized, and maintained.
- Monitor expiration dates and replacement needs for emergency and safety supplies.
- Ensure compliance with applicable OSHA requirements, University safety policies, environmental requirements, and other federal, state, and local requirements related to assigned operations.
- Coordinate resolution and documentation of identified safety deficiencies.
- Oversee OMI fleet-related operational needs and coordinate vehicle maintenance, inspections, repairs, registration, replacement planning, and documentation.
- Maintain accurate vehicle service and repair histories.
- Identify recurring vehicle issues and make recommendations regarding continued repair versus replacement.
- Coordinate with appropriate University fleet and transportation resources.
- Assist in planning for vehicle replacement and operational continuity.
- Oversee assigned remote equipment and infrastructure, including remote coolers or refrigeration equipment used in support of statewide OMI operations.
- Coordinate maintenance and repair of trailers, generators, specialized equipment, or other operational assets as assigned.
- Maintain accurate inventory and service records for assigned equipment.
- Provide direct supervision and operational oversight of assigned inventory staff.
- Ensure appropriate inventory levels are maintained for OMI operational, laboratory, safety, and facility supplies.
- Ensure storage and stock areas remain clean, organized, secure, and appropriately maintained.
- Oversee routine auditing of inventory and inventory-management systems.
- Ensure accurate use and maintenance of approved inventory tracking systems.
- Monitor supply availability and proactively identify discontinued, backordered, or difficult-to-obtain products.
- Work with staff and end users to identify appropriate replacement products when necessary.
- Ensure inventory purchasing and receiving activities comply with University purchasing, PCard, Request to Spend Funds (RTSF), surplus, and property-control requirements.
- Provide appropriate oversight of chemical disposal and University surplus processes when equipment or materials are no longer needed.
- Coordinate and oversee contractors, service providers, and vendors performing work for OMI.
- Monitor vendor performance, schedules, service expectations, and completion of work.
- Review work for quality and compliance with contract or service requirements.
- Maintain vendor and contract documentation and track renewal or expiration dates as appropriate.
- Obtain quotes, coordinate purchasing processes, and assist with expenditure monitoring.
- Identify service concerns promptly and work with vendors and University partners toward resolution.
- Escalate significant performance, safety, financial, or service concerns to OMI leadership.
- Monitor expenditures associated with facilities, equipment, repairs, supplies, and contracted services.
- Follow all University purchasing and procurement requirements.
- Ensure purchases contain appropriate business justification and documentation.
- Ensure PCard transactions and allocations are completed accurately and within established deadlines.
- Submit or coordinate RTSF requests through established OMI approval processes.
- Assist leadership with development of facility, equipment, fleet, and replacement budget projections.
- Identify opportunities for cost control while maintaining appropriate safety and operational standards.
- Participate in development and maintenance of OMI emergency preparedness, disaster response, and continuity plans related to facilities and infrastructure.
- Coordinate response to urgent facility failures that may impact OMI operations.
- Maintain appropriate emergency vendor and University contact information.
- Assist leadership with planning for power failures, refrigeration failures, water events, HVAC outages, equipment failures, weather events, and other facility emergencies.
- Participate in emergency response activities when facility or equipment support is required.
- Provide direct supervision, coaching, training, and performance management for assigned staff.
- Establish clear expectations, priorities, deadlines, and accountability for work assignments.
- Conduct regular employee check-ins and team meetings.
- Monitor work completion and provide timely feedback.
- Maintain appropriate documentation related to employee performance and operational assignments.
- Ensure adequate work coverage and coordinate schedules based upon operational needs.
- Train employees on applicable policies, procedures, safety requirements, systems, and operational expectations.
- Address performance or conduct concerns promptly and consistently in coordination with OMI leadership and Human Resources when appropriate.
- Encourage teamwork, professional communication, continuous improvement, and strong customer service.
- Develop and maintain systems for tracking facilities requests, maintenance activities, inspections, repairs, contracts, equipment, fleet activities, inventory, and regulatory requirements.
- Maintain accurate and timely documentation of open and completed work.
- Develop metrics or reports that allow leadership to evaluate workload, outstanding issues, costs, response times, recurring problems, and operational risks.
- Conduct routine audits of assigned operational processes.
- Identify recurring issues and recommend process improvements rather than relying solely on reactive solutions.
- Maintain and update applicable Standard Operating Guidelines (SOGs), Standard Operating Procedures (SOPs), checklists, and other operational documentation.
- Ensure records are organized and accessible to appropriate personnel.
- Possession of a valid New Mexico driver's license is a requirement for this job.
- Successful candidate must submit to post-offer, pre-employment physical examination and medical history check.
