Position Overview

We are seeking a polished, personable, and highly organized Front Desk Coordinator to join our medical office. The ideal candidate will create a warm, professional first impression while providing exceptional service to patients throughout their visit.

This position is responsible for efficiently checking patients in and out, coordinating appointments, handling phone calls, collecting payments, and supporting the smooth operation of the front office.

Key Responsibilities

• Greet patients warmly and professionally upon arrival
• Check patients in and out accurately and efficiently
• Verify patient demographics, insurance information, and required forms
• Schedule, confirm, and reschedule appointments
• Answer multi-line phone calls and respond to patient inquiries
• Collect copayments, balances, and payments for services
• Provide receipts and explain basic billing or payment information
• Coordinate follow-up appointments and treatment visits
• Maintain an organized, elegant, and welcoming reception area
• Communicate effectively with providers, clinical staff, and management
• Protect patient privacy and follow HIPAA regulations
• Assist with medical records, scanning, faxing, and general administrative duties
• Address patient concerns with discretion, empathy, and professionalism
• Support a high-end patient experience consistent with the practice’s standards

Qualifications

• Previous experience in a medical office, dermatology practice, spa, hospitality, or upscale customer-service environment preferred
• Excellent communication and interpersonal skills
• Professional appearance and gracious, service-oriented demeanor
• Strong attention to detail and organizational skills
• Ability to multitask in a fast-paced environment
• Comfortable handling payments and confidential information
• Proficiency with computers, scheduling systems, and electronic medical records
• Knowledge of insurance verification and medical terminology is a plus
• Ability to remain calm, courteous, and solution-focused when addressing patient concerns
• Must pass a drug screen and background
• Must have proficient computer skills
