Leave of Absence Specialist

Our client, a well-established, multi-state organization in Naperville, IL, is hiring an experienced Leave of Absence Specialist for a contract opportunity. We are seeking a knowledgeable, hands-on leave professional who can step in quickly, take ownership of complex leave cases, and serve as a trusted resource for employees, managers, and HR leadership.

The ideal candidate is comfortable managing the full leave lifecycle, partnering with third-party administrators, and identifying opportunities to improve processes and ensure compliance.


As the Leave of Absence Specialist, you will play a critical role in supporting employees through the leave process while collaborating closely with HR, payroll, and benefits teams.



Leave of Absence Specialist Responsibilities

• Own the end-to-end leave administration process, from initial intake and eligibility determination through return-to-work coordination.

• Serve as the internal subject matter expert on FMLA, ADA, short-term disability, state-specific leave laws, and company leave policies.

• Manage complex leave cases across multiple states, ensuring accurate documentation, timely follow-up, and compliance with applicable regulations.

• Lead and document the ADA interactive process, partnering with employees and management to evaluate accommodation requests and determine appropriate next steps.

• Act as the primary liaison with the third-party leave administrator, resolving escalations, reviewing case decisions, and ensuring service expectations are met.

• Partner closely with payroll and benefits teams to ensure accurate leave-related pay, benefit deductions, and continuation of coverage.

• Maintain accurate leave records, tracking reports, and HRIS data to support compliance, reporting, and workforce planning.

• Identify gaps in current leave processes and recommend improvements to enhance efficiency, compliance, and the employee experience.

• Provide guidance and education to employees and managers regarding leave policies, eligibility, documentation, and return-to-work requirements.

Leave of Absence Specialist Requirements

• 4+ years of HR experience, including at least 3 years of dedicated leave of absence administration experience.

• Strong working knowledge of FMLA, ADA, short-term disability, and multi-state leave laws, including experience navigating complex leave scenarios.

• Demonstrated experience independently managing a high-volume leave caseload in a multi-state organization.

• Experience working directly with third-party leave administrators, including managing escalations and resolving discrepancies.

• Understanding of the relationship between leave administration, payroll, benefits, and employee accommodations.

• Proficiency with HRIS platforms; UKG Pro experience is strongly preferred.

• Strong attention to detail, organizational skills, and the ability to prioritize competing deadlines.

• Excellent communication and interpersonal skills, with the ability to navigate sensitive employee situations professionally and empathetically.

• Experience developing leave reports, auditing data, and identifying opportunities for process improvement.

• Bachelor's degree in Human Resources, Business Administration, or a related field preferred, or equivalent professional experience.

• Compensation: $40-$45/hour (W2)
