Compensation range: $21.00 - $25.00 per hour

The actual salary offered within the range is dependent on a variety of factors including, but not limited to relevant experience, qualifications, skills, level offered, and performance expectations.

Position Overview

We are seeking a detail-orientated Operations Specialist to manage the daily processing, balance, and reconciliation of key financial transactions. In this role, you will handle ACH files, share drafts, card disputes and regulatory reporting while serving as an operational resource for internal staff and members.

Knowledge & Skills Needed to be successful in this role?

• Associates degree is preferred or high school diploma or GED with an equivalent amount of work experience.
• A minimum of 3 to 5 years' experience in related positions is normally required.
• Excellent communication skills and strong attention to detail.
• Proficiency with a PC and associated programs (such as Microsoft Office)
• Ability to build relationships with members and teammates
• Become proficient in all relevant systems as well as credit union products

Essential Functions & Responsibilities:

• Payment & Transaction Processing
• Process and balance daily ACH files, share draft files, and Federal Deposit reports.
• Resolve daily posting exceptions and handle automated clearing house (ACH) and share draft stop payments.
• Download and process debit card files, ticking reports, and shared branching returned items.

Dispute Resolution & Research

• Investigate and resolve member disputes regarding ACH, ATM, debit card, and Visa transactions.
• Fulfill research requests for statement copies, check images, subpoenas, income verifications, and government requests.
• Coordinate with members, internal staff, and third-party card processors to resolve complex issues.

Account Maintenance & Compliance

• Process IRA paperwork, manage contributions/withdrawals, and handle tax reporting to Ascensus.
• Manage annual IRS reporting for 1099-INT, 1098-INT, and 1099-C tax forms.
• Handle deceased member accounts, including estate correspondence and cross-departmental loan coordination.
• Manage escheatment processing, including required mailings, publishing, and fund transfers to NYS.
• Execute month-end, quarter-end, and year-end close processes and generate end-of-month (EOM) reports.

Systems & Documentation

• Maintain the OnBase optical storage system by scanning, archiving, and managing access to member documentation.
• Create and update operational procedures to maintain efficiency and compliance.
• Troubleshoot system issues by opening and tracking technical support cases.
