Communication CoordinatorThe communication & planning coordinator is responsible for providing support for school administration and the advancement office. In this capacity the communication & planning assistant must demonstrate the ability to manage multiple responsibilities or tasks in a calm professional manner and to use discretion regarding confidential matters. The communication & planning coordinator must demonstrate a positive ability to work collaboratively with others. The communication & planning coordinator reports directly to the office manager.Duties of Communication & Planning Coordinator Relating to Faith:Support & implement the mission, vision & philosophy of Catholic education & St. Ambrose by supporting the formal religious education program; respecting cultural diversity of the school & working to reduce biases/stereotyping and; accepting responsibility for leading others closer to Christ by modeling Christ-like character.Give evidence of lived Gospel values by serving as a positive Christian role model; catechizing the faith to others; giving evidence to the importance of prayer & worship through active participation in planning & celebrating prayer, liturgy & faith-sharing activities; speaking, acting & instructing students in a manner consistent with the teachings of the Church; integrate religious attitudes & values into secular subjects and the life of the school; modeling an attitude of service; planning/participating in works of mercy projects with students; demonstrating mercy & justice in dealing fairly with members of the community and; demonstrating respect for all forms of life.Actively participate in nurturing the growth of Catholic faith within the community by demonstrating willingness to plan, encourage & participate in community building activities; welcoming all members to the community with a Christ-like spirit of openness and acceptance; demonstrating a spirit of reconciliation in problem solving within the school community.Duties of School Communications:Provide support for Administration and Advancement as requested manage school volunteers in collaboration with the Advancement Coordinator and Event Coordinator support Paduan Parents organization through monthly event emails to grade-level coordinators collaborate with Administration & Advancement department to promote school events and accomplishments through various media sources; develop media contacts; write and distribute news releases update/maintain TV screens in school lobby collaborate with Administration to complete slide decks for monthly morning assemblies help with maintenance of storage onsite, offsite, and St. Theresa Center Calendars "create" the school master calendar based on prior school year update annual school master calendar (the one with all the color coding) responsible for development and ongoing revisions of school's annual master calendar in FACTS for student, parent, and staff access create Sign-up Geniuses (specifically for annual parent-teacher conferences) responsible for maintaining binders of record for parent organization, governing bodies school committees All non -program events Spelling Bee, Saints Bee, Saints Gallery, etc. support Administration and the Advancement Coordinator in creating and copying event programs, such as parent info nights, open house, graduation, etc. responsible for creating and scheduling Parent Alert communications (text, email, phone) via School Messenger in collaboration with Administration and Advancement Coordinator create parent and staff surveys as requested by Administration create and email the weekly FOCUS to faculty and staff in collaboration with assistant principal Advancement mailings Availability for Advancement events and activities. Examples of events: Leadership Society Reception Parent Info Nights Big Deal Birthdays Homecoming Dolphin Donor Day Grandparents Day presence at Spirit Nights Future Family Open House Middle School Breakfast Break Fellowship Sundays for raffle ticket sales Gala (Friday before and day of) create, manage, and edit content for the school's website, parent portal, social media, and school app, ensuring that new and up-to-date content is posted regularly coordinate photography and video needed to support internal and external communications coordinate parent communications through weekly newsletter Gala: assist with gala sign-up parties (scheduling, purchasing, disseminating info to teachers and or parents and sometimes support staffing) manage gala raffle ticket sales communications to gala winners meeting minutes for gala committee meetings planning, setup and breakdown, and communications with Parents and administration for all gala-related socials (Pizza With Principals, Breakfast Break, etc.) coordinate Teacher for the Day experiences End of year duties: create Teacher and Paduan of the year survey fulfill other duties as requested by AdministrationDuties of Communication & Planning Coordinator Relating to Interpersonal Relationships and Communication:Maintain positive work climate conducive to open communication, team building, productivity and culture of discipleship develop and maintain strong student, teacher, parent, and community relations work cooperatively with administration, school staff and parish staff promote positive self-image and self-discipline in students give serious consideration and appropriate action to parental comments and concerns create a welcoming atmosphere on behalf of St. Ambrose work with the school and parish to build the community of St. Ambrose communicate in a positive and cooperative manner with all in the school community encourage and strive to keep open and prompt communication with members of the school community utilizing procedures and formats defined for St. Ambrose. notify Administration immediately of any emergency or potential liability issue.Duties of Communication & Planning Coordinator Relating to Professionalism:Take advantage of opportunities to further professional growth. participate in scheduled in-service opportunities and attend meetings as called by the Administration. maintain confidentiality, thus respecting the rights of students, parents, peers, and the school community. dress professionally and in accordance with Archdiocesan and school guidelines. use oral and written English correctly. report any knowledge or suspicion of child abuse as required by law. represent the school in marketing, public relations & retention opportunities & events such as open houses, parent information nights, National Catholic Schools Week events, Auction Gala, other fundraising events, parent organization activities, etc.; be available for evening or weekend work as necessary. be knowledgeable of policies, procedures & regulations stated in school handbooks (Family, Staff, Middle School Student, etc.); observe and enforce procedures and policies contained in handbooks with consistency and fairness. accept willingly any reasonable special assignment requested by the Administration, pastor, governing bodies, or Archdiocese.Physical or Mental Requirements of Communication & Planning Coordinator: display emotional stability, compassion, appropriate humor, flexibility, good judgment/common sense & a positive attitude all which strengthens respect for education & St. Ambrose demonstrate ability to work in a standard multi-story school building environment and respond effectively to emergency situations.
