Entech Sales & Service is seeking a highly motivated and detail-oriented individual to join our team as a Certified Payroll & Compliance Specialist This multifaceted role will handle general administrative duties and will be cross-trained to assist with payroll and certified payroll as needed.

Responsibilities:

• Construction & Project Compliance: Prepare, review, and submit Certified Payroll reports. Manage project-specific insurance requirements, including Owner Controlled Insurance Programs (OCIP) and Contractor Controlled Insurance Programs (CCIP) reporting.
• Facility Access & Badging: Manage client-specific badging and secure site access requests for our field technicians and project teams. Serve as the primary point of contact for onboarding personnel onto major client accounts.
• Outbound Insurance Tracking: Coordinate with our insurance broker to request and issue project-specific Certificates of Insurance (COIs) required by General Contractors and owners. Manage the distribution of annual and rolling policy updates to ensure continuous compliance.
• Payroll Backup: Cross-train extensively in our primary payroll processing systems to seamlessly step in and serve as the backup administrator when needed.
• Administrative & Recruiting Support: Maintain and update recruitment websites, post open positions, and assist with general office administration and onboarding logistics.
• Confidential Data Management: Maintain the highest level of integrity and confidentiality regarding employee records, payroll numbers, and sensitive client access data.
• General Administrative Support: Provide general administrative support as needed, including managing correspondence, preparing reports, and email correspondence.
• Microsoft Office Suite Proficiency: Utilize Microsoft Word, Excel, PowerPoint, and Outlook to create documents, spreadsheets, presentations, and manage email communication.
• Other duties as assigned.

Qualifications:

• Proven experience in administrative support, data entry, and/or work order management is preferred.
• 1+ year of payroll or payroll support experience preferred
• Experience in certified payroll is a plus
• Strong proficiency in Microsoft Office Suite (Word and Excel).
• Excellent data entry skills with a high degree of accuracy.
• Demonstrated ability to multitask and prioritize effectively in a fast-paced environment.
• Exceptional organizational skills and attention to detail.
• Self-driven and proactive with the ability to work independently and as part of a team.
• Excellent communication (written and verbal) and interpersonal skills.
• Ability to learn new software and systems quickly.
• High school diploma or equivalent required; Associate's degree or higher preferred.
• High level of discretion and professionalism
