Lead File Clerk
Duties may include but are not limited to:
- Lead and oversee the performance of duties related to the transfer of transcribed reports from a word processing environment to CPRS. The Lead File Clerk will monitor the timeliness and accuracy of the transmission of data. Maintain workload and productivity reports for the unit. Perform monthly spot checks on work performance and productivity. The Lead File Clerk will regularly report findings to the File Supervisor and the Chief, HIMS. The Lead File Clerk administratively corrects patient records when mistakes are made by employees and notates such corrections through productivity reports.
- Spread workflow among employees so that it is evenly distributed. Adjust work assignments as needed to cover peak periods, leave, and vacancies. Prioritize work to assure completion of scanning within specified times. The Lead File Clerk is the instructor/trainer for File Room personnel. This includes all operations; i.e., filing sequence, retrieval of medical records, transfer of medical records, Record Tracking and scanning processes and other VISTA related programs.
- Resolve simple, informal complaints of employees referring others to the supervisor. Inform employees of available services and employee activities. The Lead File Clerk will report to the File Supervisor on performance, progress and training needs of employees. Promptly informs File Supervisor of any unusual complex or problem situations confronting the daily unit operations that cannot otherwise be resolved. Provide File Supervisor with suggestions as requested concerning promotions, reassignments, recognition of outstanding performance, and personnel needs. Identify and recommend needs in regards to future staffing, equipment, and space.
- Perform on a regular and recurring basis, related duties such as receipt, intake, scanning, indexing, destruction, and transfer of health and administrative information throughout the V ANTHCS and to other VA facilities. The Lead File Clerk will operate a personal computer (PC) and utilize common electronic mail, word processing and spreadsheet software applications as well as numerous unique software applications and platforms such as VistA and CPRS applications in the performance of daily duties.
- Promote a positive image of VA NTHCS with emphasis on customer service by treating patients, co-workers, and medical center personnel with courtesy and respect. Respond to customers' needs in a positive and efficient manner. Employ a cooperative attitude in interactions with co-workers and supervisors. Regularly and cooperatively assist other co-workers when needs arise. Serve as the Acting File Supervisor, when the need arises.
Work Schedule: Monday-Friday, 8:00am-4:30pm
