Admissions Manager

$33.5 - $36.5 per hour

Position Summary The Admissions Manager oversees animal admission into Seattle Humane, coordinating transfers for adoption to other welfare organizations and intake of surrendered pets from the public. Efforts focus on being a resource for adoptable pets in the community, reducing lifesaving gaps, and building reliable incoming sources for adopters. The Manager reports to the Senior Operations Manager – Admissions and Behavior and leads department programs and services while supporting Seattle Humane’s mission and goals. Key Functions In conjunction with the Senior Operations Manager – Admissions and Behavior provide strategic direction for intake procedures, pathway planning, and population diversity goals for transferred and surrendered pets. Monitor intake trends and provide feedback and oversight regarding intake decisions. Collaborate with other Animal Care Managers to manage the intake process, animal population and capacity planning, ensuring smooth operations. Participate in discussions regarding current animal populations, providing insights, data, and recommendations. Directly supervise the Admissions Supervisor and work with them to supervise Admissions Coordinators, including hiring, training, scheduling, and setting performance goals. Maintain department compliance with safety, health and labor regulations. Function as Volunteer Coordinator for Admissions Volunteers. Collaborate daily with other Operations departments to address interdepartmental needs and animal cases. Write or edit communications as needed, such as memos, newsletters, SOPs, and grants. Prepare and submit department reports and data, including monthly statistics, board reports, and grant/fund tracking documentation. Submit department budget requests and follow established annual budget amounts. Perform other duties as assigned. Secondary Responsibilities Promote a positive and cooperative work environment, fostering mutual respect and open communication. Continuously contribute to the improvement of shelter services, programs, and workplace conditions through meetings and idea sharing. Ensure timely reporting of health, safety, or behavioral concerns to maintain a secure department. Communications & Interpersonal Contact Regular communication with the Senior Operations Manager – Admissions and Behavior. Daily close collaboration and communication with other Operations departments regarding interdepartmental concerns and animal cases. Daily communication with all staff and volunteers, both in person and via email, written procedures, memos, or direct mail. Regular contact with clients, via in person, telephone, email or direct mail. Regular contact with other animal welfare agencies. May act as representative of Seattle Humane for donor and media events. Complexity The role requires a high degree of independent judgment. Managers must coordinate staff and volunteers while staying focused on agency goals and objectives. Attention to detail, ability to respond to unexpected queries, and strong negotiation and mediation skills are essential. Cultural competency and excellent customer service skills are required, as is teamwork. Qualifications At least 2 years of experience working in an animal welfare setting. At least 2 years of supervisory or managerial experience. Customer service experience required, especially with clients in highly emotional and stressful situations. Knowledge of trauma-informed care practices preferred. Must have excellent oral communication skills. Must be able to write clearly and listen effectively. Must possess organizational and planning skills to set priorities and manage a budget. Must be able to analyze problems, create or negotiate solutions, and understand statistical information. Must have at least two years of employment in an animal shelter or related animal welfare experience. Experience with PetPoint preferred. Customer service experience highly preferred. Licenses & Certificates High school graduate or GED. Certified in human CPR/first aid and mental health first aid. Valid Washington State driver’s license with a good driving record. Physical & Mental Requirements Comfortable administering medications and injections. Able to have difficult conversations with staff, volunteers, clients, and other shelters regarding placement options and euthanasia sensitively. Comfortable interacting with individuals in escalated or highly emotional states. Capable of standing for long periods and walking quickly. Capable of restraining cats and dogs for medical purposes and performing general animal handling. Able to lift and carry at least 50 pounds, with accommodation; crouch, bend at the waist and kneel; control dogs up to 200 pounds on a leash. Willing and able to drive long distances in challenging weather conditions and in heavy traffic. Bilingual desirable. Working Conditions General office and animal shelter environment. Potential exposure to animal bites, zoonotic diseases, animal dander, and noise. Possible interaction with angry or irate customers. Work may involve entering and leaving work areas alone and at night. Equipment Used Personal computer, printer, office supplies, multi-lined telephone, copier, calculator, fax machine, safety boots, hearing protection, eye protection, syringes, animal restraint equipment, muzzles, respirators, gloves, animal leashes, clothes washer and dryer, broom, mop, hoses, sprayers, scrapers, squeegees, animal dryers. Frequent use of shelter vehicles and dog-fight equipment. Work Hours Full-time, non-exempt, 40 hours per week scheduled with possible evening and weekend hours, and availability for emergency calls with rotating shift coverage. Location The position is on-site in the Bellevue, WA office.
