Operations Analyst

A research-driven investment management firm is seeking an Operations Analyst to support the day-to-day operational management of SMA strategies, ETF advisory relationships, and portfolio administration functions. This role is focused on back-office and middle-office investment operations, including trade implementation, cash management, reconciliations, custodian coordination, operational reporting, and maintaining portfolio data integrity. The Operations Analyst will work closely with the investment team to ensure accurate execution and administration of investment strategies across custodial platforms. This is not a portfolio management role. The position is operational in nature and centered on execution, oversight, and infrastructure support.

Key Responsibilities

• Implement trades and portfolio instructions at the direction of the investment team
• Generate, format, and upload trade files to custodial and trading platforms
• Support allocation management across SMA accounts
• Monitor trade execution, settlement activity, and exception reporting
• Coordinate with custodians and counterparties to resolve trade breaks and discrepancies
• Process account maintenance requests and operational account activity
• Monitor portfolio cash balances and assist with cash management
• Support SMA rebalancing and account transition activity

• Perform daily and monthly reconciliations across custodians and internal systems
• Investigate and resolve reconciliation breaks and data discrepancies
• Maintain accurate portfolio accounting records and documentation
• Support audit requests, operational controls, and compliance documentation
• Assist with fee billing, operational reporting, and data validation
• Independently research and resolve operational issues, escalating as needed

• Maintain accurate portfolio and account-level data across systems
• Assist with client reporting and internal operational reporting
• Support ETF oversight reporting and operational data requests
• Maintain internal spreadsheets, workflows, and operational dashboards

• Identify opportunities to improve workflows and reduce manual processes
• Assist with implementation and testing of operational systems
• Maintain written procedures and process documentation
• Support the ongoing build-out of operational infrastructure

Required Skills

• Bachelor's degree in finance, accounting, economics, business, or related field
• 2-4 years of experience in investment operations, trade support, or portfolio administration
• Understanding of trade settlement, reconciliations, and cash management workflows
• Experience working with custodial platforms
• Strong Excel skills and comfort using AI-enabled productivity tools
• High attention to detail with strong organizational and analytical skills
• Ability to manage multiple priorities in a fast-paced environment
• Strong communication skills and ability to work cross-functionally
• High level of ownership and accountability

• Experience with custodians such as Schwab Advisor Center or Fidelity Wealthscape
• Experience with portfolio/TAMP platforms such as SmartX, Orion, or Tamarac
• Experience with portfolio accounting, trading, or reconciliation systems
• Background in an asset manager, RIA, broker-dealer, or family office
