Schedule: Part-Time | Wednesday 8:00am–1:30pm or 1:30pm–6:30pm (rotating), Thursday 8:00am–6:00pm, Friday 8:00am–5:00pm | In-Person

The Opportunity:

We are seeking a friendly, organized, and dependable Front Office Coordinator to join our team. This role is ideal for someone who enjoys working with people and is passionate about delivering exceptional customer service.

You'll be the face of Breakthrough HQ the moment patients walk through our doors — and the reassuring voice they hear on the other end of the phone. You'll serve as the primary point of contact for patients, answering calls, welcoming arrivals, managing the schedule, and supporting the day-to-day operations of the practice.

What You'll Do:

  • Welcome patients and families with warmth and create a calm, inviting atmosphere from the moment they arrive.
  • Handle incoming calls and manage provider schedules, including scheduling, rescheduling, confirming appointments, and keeping appointment waitlists organized.
  • Check patients in and out and keep them informed about appointments, wait times, office policies, and other important office information.
  • Gather and verify insurance and demographic information accurately at each visit and ensure intake paperwork is complete prior to appointments.
  • Keep patient records and charts accurate and up to date within the EHR.
  • Respond to patient questions, route messages to the appropriate team member, and communicate with patients by phone, text, and email in a way that feels warm, clear, and professional.
  • Accurately process patient charges in our EHR and billing system.
  • Follow up with patients regarding outstanding account balances prior to appointments and assist with basic billing questions or discrepancies.
  • Assist the clinical team with medical assistant tasks as directed.
  • Support overall office operations and administrative tasks as needed while being a reliable and supportive team player.

Qualifications:

  • High School Diploma or GED required.
  • Medical Assistant training or certification is a plus, not a requirement.
  • Background in a medical office, clinical setting, or behavioral/mental health environment preferred; high-touch customer service experience is also a plus.
  • A naturally calm presence and a heart for helping people.
  • Exceptional attention to detail — this is a must.
  • Excellent communication and interpersonal skills — in person, on the phone, and in writing, including texts and emails.
  • Strong organizational skills.
  • Ability to manage multiple priorities while remaining organized, focused, and calm in a fast-paced environment.
  • Comfortable navigating digital platforms including computers, scheduling software, EHR systems, Adobe, Google Calendar, email, and more.
  • Professional, compassionate, and patient-focused demeanor.
  • Punctual, dependable, and team-oriented.

What We Offer:

  • $16.00–$18.00 per hour, depending on experience | W-2 Employee.
