Sales Support Administrator
Location: West Sacramento, CA
Schedule: Monday–Friday, 8:00 AM–4:30 PM
Pay: $28.00–$32.00 per hour, depending on experience

Position Overview
We are seeking a highly organized, detail-oriented Administrative / Sales Support professional to support our sales team and assist with day-to-day customer service, order management, reporting, and administrative functions. The ideal candidate will have experience working in a manufacturing, fabrication, distribution, or similar environment and understand the flow of customer orders through production and fulfillment. Familiarity with BOMs (Bills of Material), WIP (Work in Process), inventory, purchasing, and order processing is highly preferred.
This position serves as an important liaison between customers, sales, purchasing, accounting, warehouse, shipping/receiving, and management. The successful candidate will be comfortable working in multiple systems, managing competing priorities, identifying discrepancies, and following issues through to resolution.

Key Responsibilities
Customer & Sales Support

• Assist customers with general inquiries, including order status, estimated delivery dates (ETA), tracking information, and other order-related questions.
• Enter and maintain accurate customer information in the CRM.
• Provide administrative and reporting support to the Business Manager and sales team.
• Provide sales-related data, reports, and order information as requested.
• Assist the sales team with order cancellations and other customer/order-related requests.
• Provide customers with material certifications, data sheets, and other required documentation.
• Provide customer-related information to other departments as needed, such as order history for the Compliance Department.

Order & Manufacturing Support

• Process WIP (Work in Process) jobs, including labor and material allocations.
• Utilize Order Desk and Syspro to manage, maintain, and clean up open orders.
• Review orders for accuracy and help resolve discrepancies involving pricing, quantities, products, and other order details.
• Assist with generating RMAs (Return Material Authorizations) and processing credits as necessary.
• Follow up on Stock POs and Factory Drop Ship orders to ensure on-time delivery.
• Communicate necessary order and delivery information to the sales and purchasing teams.
• Work closely with internal departments to identify and resolve order-processing delays.

Accounting & Billing Support

• Process credit card payments accurately and securely.
• Work closely with the Accounts Receivable Department to release Sales Orders.
• Notify sales representatives of delays or issues affecting order processing.
• Process daily billing.
• Assist with resolving discrepancies and coordinating credits as needed.

Qualifications
Required

• Strong administrative and organizational skills.
• Excellent attention to detail and accuracy.
• Strong verbal and written communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Comfortable working with customers, sales representatives, and multiple internal departments.
• Proficiency with Microsoft Office and general computer systems.
• Ability to learn and navigate CRM, ERP, and order management systems.

Highly Preferred

• Previous experience in a manufacturing, fabrication, distribution, or industrial environment.
• Understanding of BOMs (Bills of Material) and how materials and labor flow through production.
• Experience with WIP (Work in Process) and labor/material allocations.
• Experience with Syspro, Order Desk, or similar ERP/order management systems.
• Experience working with Sales Orders, POs, inventory, purchasing, shipping, and receiving.
• Previous experience supporting a sales team in a manufacturing or industrial setting.
