Youth Program Coordinator

$500 per month

Job Summary The Youth Program Coordinator plans, coordinates, administers, supervises and evaluates a wide variety of youth‑focused recreation programs, athletic leagues, special events, and camps under limited supervision. This position is responsible for developing and managing engaging, inclusive opportunities for children in the community, including youth sports, enrichment programs, and family‑oriented events. Essential Duties and Responsibilities Develop and implement youth athletic programs and leagues for the community. Plan and deliver youth recreation programs, including enrichment activities, after‑school programs, day camps, and child‑focused special events. Coordinate scheduling, facility use, and transition of programs between youth and adult age groups with the Adult Program Coordinator. Partner with the Event Coordinator and other staff to create and implement events geared toward children and families. Supervise, coordinate, train, evaluate, and certify staff in program development and implementation; oversee department activities, staff, instructors and volunteers. Assist in developing and administering departmental budgets for program areas; monitor budget activities throughout the year. Prepare flyers, letters, brochures, calendars and media releases regarding recreation programs for publication and distribution. Promote programs to school officials, community service groups, city departments, and the public. Respond to questions, comments, and complaints from participants and the public regarding programs and activities. Communicate internally within the department and city regarding program operations and facility scheduling. Develop, manage and operate each program within a cost‑effective budget that meets departmental policy on program fees. Maintain and compile records and statistics for personnel, programs and activities. Assist in managing the registration system, including registering children for teams and collecting fees. Solicit volunteers to serve as coaches, instructors, program assistants, and provide required training and education for coaches, instructors and officials. Recruit, hire and manage independent contractors and/or staff to operate youth programs, classes, and activities in accordance with department standards and policies. Schedule games, officials and sites for adult and youth sports; coordinate tournaments. Supervise and conduct classes, workshops and other activities. Assist in planning and management of concessions and related activities (design, layout, operation, inventory, contracting, staffing, and training). Answer and transfer incoming telephone calls; receive and assist visitors; respond to inquiries from employees, citizens and others and refer to appropriate persons; run errands; pick up supplies; make arrangements for rental and use of athletic facilities; handle concerns regarding programs or public services. Respond to additional duties as required. Additional Duties and Responsibilities Assist in the recruitment and selection of part‑time and seasonal staff. Serve as a member of various committees as assigned. Attend public meetings as assigned. Perform other duties, tasks and responsibilities as assigned. Purchase, request, maintain and disseminate equipment to facilities and staff. Work collaboratively with Whitewater Unified School District, UW‑Whitewater, and neighboring community agencies as necessary. Qualifications Education and/or Experience Bachelor's degree from a four‑year college or university with a degree in recreation, social work, or a closely related field. Two years of increasingly responsible related experience, or an equivalent combination of education and experience, that provides the requisite knowledge, skills and abilities. Certified Park Recreation Professional (CPRP) certification or ability to obtain is desired. Bilingual background in Spanish and CPR/First Aid certification is desired. Language Skills Communicate orally and in writing with department director, staff, volunteers, police department, other city departments, officials, community groups, chamber of commerce, schools, local businesses, media, and the public. Analyze data and information using established criteria to determine consequences, identify alternatives, compare and count, differentiate, measure, copy, record and transcribe data, classify, compute, tabulate and categorize data. Persuade, convince and/or train others. Advise and interpret how to apply policies, procedures and standards to specific situations. Utilize advisory data and information such as code manuals, city ordinances, state statutes, procedures, guidelines and non‑routine correspondence. Communicate orally and in writing with city personnel, department personnel and city residents. Mathematical Skills Calculate percentages, fractions, decimals, volumes, ratios, present values and spatial relationships; interpret basic descriptive statistical reports. Reasoning Ability Use functional reasoning in performing influence functions. Exercise judgment, decisiveness and creativity required in evaluating information against sensory and/or judgmental criteria. Work well under pressure and handle stressful situations; organize work, set priorities, manage time and resources to meet deadlines and changing demands; perform duties with a minimum of supervision. Other Qualifications Proficiency in typing, computers and electronic data processing. Working knowledge of modern office practices and procedures and Microsoft Office, including Word, Excel, PowerPoint and Access. Effectively meet and deal with the public. Artistic and creative skills are desirable. Perform cashier duties accurately. Work effectively in cooperation with fellow employees as a member of the administrative staff team. Work in and maintain an environment that deals with sensitive and confidential information. Physical Demands Frequently required to sit and talk or hear; occasionally required to walk, use hands to handle or operate objects, tools or controls, and reach with hands and arms. Requires close vision, ability to adjust focus, and sustained prolonged visual concentration. Operate, maneuver and provide simple but continuous adjustment on equipment, machinery and tools such as computers and other office machines. Coordinate eyes, hands, feet and limbs for slightly skilled movements such as typing and operating various office equipment. Recognize and identify degrees of similarities and differences between characteristics of colors, shapes and textures associated with job‑related objects, materials and tasks. Exert light physical effort; occasionally lift, carry, push, pull, crouch, crawl, kneel, stoop and move up to 50 pounds. Work Environment Noise level is moderately quiet. Work under generally safe and comfortable conditions where exposure to repetitive computer keyboard use, irate individuals and intimidation may cause discomfort and pose limited risk of injury. Supervision Received and/or Exercised Works under the supervision of the Parks and Recreation Director. Requires the ability to provide first line supervision. Vision Insurance – Employees are eligible for coverage the 1st of the month following their hire date. Section 125 Flexible Benefit – Optional employee benefit. Employees are immediately eligible for the City’s FSA (Section 125) Program benefit upon hire. Paid Vacation – Employees are eligible for paid vacation. Vacation time is prorated during the first year of employment and is awarded on a calendar‑year basis. Paid Sick Leave – Employees earn sick leave hours each pay period. Lifestyle Savings Account (LSA) – $500.00 for wellness and other eligible expenses. Amount prorated based on start date for the first year. Wisconsin Deferred Compensation Program (WDC) – Supplemental retirement savings program authorized under Section 457 of the Internal Revenue Code.
