Job Description The Scheduling Specialist I coordinates the scheduling for patient procedures and services. The following statements describe the general nature and level of work assigned to this position. They are not an exhaustive list of all duties, responsibilities and skills required. Primary Responsibilities Registers all new and established outpatients upon arrival, verifies, collects co‑payments, and updates required information. Is responsible for collecting and data‑entering information with a high degree of accuracy. Statuses all appointments at the time of check‑in, confirms all appointments are status‑checked by end of the day to ensure appropriate charges posted. Enters all future appointment requests and indicates patient preferences or exclusions for dates and/or times. Schedules multiple appointments in the proper sequence within appropriate time frames. Regularly rounds with patients in waiting areas and provides status updates on appointment wait times and changes. Monitors patient waiting areas for cleanliness and appearance. Works collaboratively with the Access Center at LHMC to schedule patients and create access. Meets established department productivity standards. Works on the scheduling work queues and recall lists by calling patients to set up appointments. Required Qualifications High School diploma or GED required. 0–1 year(s) of related work experience required. Experience with computer systems required, including web‑based applications and Microsoft Office (Outlook, Word, Excel, PowerPoint or Access). Independence of Action: Ability to follow procedures, set priorities, and organize work within guidelines; seeks assistance when faced with unpredictable situations. Progress monitored by supervisor. Written Communications: Ability to communicate clearly in written English with internal and external customers. Oral Communications: Ability to comprehend and converse in English to communicate effectively with staff, patients, families, and external customers. Knowledge: Ability to demonstrate a full working knowledge of standard concepts, practices, procedures and policies, and apply them in varied situations. Team Work: Ability to work collaboratively in small teams to improve operations by sharing ideas, identifying issues, and respecting teammates. Customer Service: Ability to provide a high level of service to patients, visitors, staff, and external customers in a professional, respectful manner, using active listening and problem solving; remains calm in stressful situations. Physical, Social and Sensory Requirements Social/Environmental Requirements: Work requires close attention to task for accurate completion. Intermittent breaks do not compromise quality. Work routine is fairly consistent; employee must respond to events several times a week. No substantial exposure to adverse environmental conditions. Physical Requirements: Sedentary work; up to 10 lb force occasionally in carrying, lifting, pushing, pulling. Mostly sitting; occasional walking/standing. Fine manipulation with both hands and keyboard use required; occasional power grasping, pushing/pulling. Sensory Requirements: Close work (paperwork, visual examination), color vision/perception, visual clarity Pay Range $20.50 – $27.59 per hour. Actual compensation may vary based on factors such as experience, training, location and applicable differential pay. Vaccination: Employees must be vaccinated against influenza as a condition of employment.
