POSITION SUMMARY

The Program Excellence Manager coordinates organizational systems that strengthen program quality, safety, implementation consistency, and Continuous Quality Improvement (CQI) across Club sites. Through observations, safety walkthroughs, training, coaching, and data-informed improvement, this position helps ensure organizational standards translate into consistent, safe, high-quality experiences for youth and families.

Working collaboratively with site leadership and cross-functional partners, the Program Excellence Manager strengthens staff practice, supports implementation of organizational standards and initiatives, and promotes a culture of continuous learning, accountability, and improvement.

CORE FUNCTIONS

Commitment to Safety

1. Contribute to an environment of safety through the implementation and monitoring of all safety-related best practices, policies, and procedures.

1. Promote accountability to safety through consistent observation, adherence to organizational safety practices, and proactive communication.

1. Obtain and maintain Mandated Reporter certification and complete annual Child Abuse Prevention training.

1. Complete required training and participate in Emergency Preparedness protocols, including drills and communication practices.

Program Quality, Safety & Continuous Improvement

Coordinate program quality observations, safety walkthroughs, and Continuous Quality Improvement (CQI) processes that strengthen organizational consistency and youth experiences.

Responsibilities

• Coordinate and conduct program quality observations and safety walkthroughs across Club sites using established organizational tools, standards, and protocols.
• Document findings, identify trends and implementation gaps, and coordinate appropriate follow-up with site and operational leadership.
• Monitor implementation of organizational initiatives, standards, and Standard Operating Procedures (SOPs) to strengthen implementation fidelity and consistency.
• Coordinate observation calibration and consistent use of quality standards, tools, and coaching practices across the organization.
• Support the development and continuous improvement of observation tools, safety walkthrough protocols, quality standards, implementation resources, and SOPs.
• Use observation, safety, and implementation findings to recommend and support Continuous Quality Improvement (CQI) efforts.

Training, Coaching & Professional Learning

Build staff and leadership capacity through training, coaching, and professional learning that strengthens program quality and implementation.

Responsibilities

• Coordinate and facilitate training and professional learning related to program quality, organizational initiatives, standards, safety practices, and CQI.
• Provide strengths-based coaching and feedback to site leadership, initiative leaders, and Club professionals to strengthen implementation and staff practice.
• Partner with leaders to develop and follow up on improvement plans based on observations, safety walkthroughs, and identified organizational needs.
• Identify training and coaching priorities based on quality findings, implementation trends, and organizational needs.
• Reinforce organizational standards, initiatives, and SOPs through ongoing training, coaching, and professional learning.

Cross-Functional Partnership & Organizational Improvement

Partner across the organization to translate program quality findings into stronger systems, practices, and organizational learning.

Responsibilities

• Partner with site leadership and cross-functional teams to support implementation of organizational initiatives, quality standards, safety practices, and CQI efforts.
• Analyze program quality data, safety walkthrough findings, implementation trends, and relevant performance metrics to inform improvement priorities.
• Communicate trends, findings, and recommendations to organizational leaders to inform training, resources, and operational improvements.
• Collaborate with organizational leaders to strengthen practices, systems, and SOPs that improve program quality, consistency, safety, and youth outcomes.
• Foster a culture of collaboration, accountability, continuous learning, and improvement across the organization.

Additional Responsibilities

• Participate in professional development opportunities that strengthen program quality, leadership, and organizational effectiveness.
• Collaborate across departments to support strategic initiatives, accreditation, grant requirements, reporting, and organizational priorities.
• Participate in organizational events, community meetings, and BGCCOC initiatives as requested.
• Travel between Club sites and organizational locations as required to fulfill position responsibilities.
• Work occasional evenings or nontraditional hours as needed to support observations, trainings, events, or program operations.
• Perform other duties as assigned in support of the organization's mission, vision, and strategic priorities.

QUALIFICATIONS

Education & Experience

• Bachelor's degree in Education, Organizational Leadership, Human Services, Youth Development, or a related field, or an equivalent combination of education and relevant experience.
• Minimum of three (3) years of relevant experience in youth development, education, nonprofit management, program quality, or a related field.
• Experience with training, coaching, continuous improvement, or program implementation; experience conducting program observations, quality assessments, site reviews, or safety walkthroughs preferred.

Knowledge, Skills & Abilities

• Strong facilitation, coaching, communication, and relationship-building skills, with the ability to provide constructive feedback and build trust.
• Ability to analyze observations, data, and feedback to identify trends and translate findings into actionable improvements.
• Knowledge of or ability to learn Continuous Quality Improvement (CQI), implementation fidelity, adult learning, and coaching practices.
• Strong organization, follow-through, and ability to manage multiple priorities across Club sites.
• Proficiency with Microsoft Office Suite and ability to learn organizational data systems and technology platforms.

Physical Requirements

This position may require the ability to sit, stand, walk, bend, or reach as needed, and to lift, carry, push, or pull objects up to 50 lbs. Employees must have the dexterity, coordination, vision, and hearing necessary to perform job tasks safely and accurately.
