Lead Medical Liaison

This person manages provider scheduling and coordination for their assigned site while also supporting the overall provider assignment schedule across the organization. They assist with onboarding and training of new team members, help coordinate coverage schedules, and oversee organization-wide productivity reporting. The Lead Medical Liaison serves as a resource to the Medical Liaison team and helps ensure consistency of processes, communication, and operational support across sites. What You'll Do As a Medical Liaison, you will play a key role in creating an environment where patients and families feel supported, safe, and inspired to grow. You will: Provider & Clinical Support Manage and distribute weekly and daily provider schedules. Manage provider scheduling and coordination for their assigned site location while coordinating organization-wide provider assignments for new admissions, monitoring provider capacity, balancing workloads, and facilitating cross-site coverage to support efficient operations and client access. Assist RN staff by preparing charts ahead of scheduled provider visits to ensure accurate documentation and efficient workflow. Pull and prepare PMP (Prescription Monitoring Program) records and upload/insert into the patient chart. Provide patient medical escort and virtual visit support as needed. Manage and track provider visit logs to ensure balanced workloads. Conduct daily audits of visits and monitor timely documentation closure. Support UR feedback processes, including scheduling peer reviews. Assist with closed-notes audit process to ensure compliance with organizational standards. Serve as a resource to Medical Liaisons across sites by providing guidance, troubleshooting operational concerns, and supporting consistent execution of workflows. Assist with onboarding and training of new Medical Liaison team members. Scheduling & Coordination Coordinate and schedule family visits in partnership with clinical teams. Schedule and manage company admissions aligned with provider availability. Facilitate provider communication throughout the day to ensure smooth operations. Coordinate prompt rescheduling or coverage when a provider is absent or unavailable. Help organize visit schedules and collaborate across departments to optimize workflows. Assist leadership with provider coverage planning and cross-site scheduling coordination. Support development and implementation of standardized scheduling processes across locations to improve efficiency and consistency. Performance & Compliance Complete chart audits at site level to confirm accuracy, completeness, and compliance with BasePoint, state, and payer standards. Ensure assigned providers meet required benchmark visit volumes each week and proactively address barriers. Provide regular productivity and benchmark reports to the Regional Director of Operations and Executive Directors, highlighting trends, opportunities, and workload distribution across sites. Collaborate with leadership to develop strategies to increase productivity and streamline provider workflows. Oversee organization-wide productivity reporting support consistency of Medical Liaison workflows across sites. What We're Looking For: High School Diploma 2 years of healthcare office experience preferred. Prior experience as a Medical Assistant strongly preferred. 1 year of medical scheduling or medical billing experience preferred. Strong customer service skills with the ability to multitask and support fast-paced clinical workflows. CPR certification and Crisis Prevention Training (CPI) within 30 days of employment and prior to any patient contact. May be required to work flexible hours.
