We are looking for an organized and hands-on Administrative Assistant with QuickBooks experience to support daily operations for a wholesale distribution business in Elgin, Illinois. This contract-to-permanent opportunity is ideal for someone who combines strong administrative leadership with some accounting experience. The role will oversee office coordination, assist with financial processes, and help maintain efficient communication across the business
**Role will start part time (25 hours a week) then transition into a full-time schedule in the future.
MUST HAVE QUICKBOOKS SOFTWARE EXPERIENCE
Responsibilities:
• Oversee day-to-day office activities to keep administrative workflows running smoothly and efficiently.
• Use QuickBooks to maintain accurate financial records, support reporting, and assist with routine bookkeeping functions as needed.
• Coordinate incoming calls, route inquiries appropriately, and provide attentive front-office support to internal and external contacts.
• Organize records, documentation, and office communications to improve accessibility and operational consistency.
• Assist with additional administrative or system-related process updates that support the office and finance team.
• Partner with leadership to identify opportunities to improve office procedures and strengthen daily business operations
• QUICKBOOKS SOFTWARE EXPERIENCE IS A MUST!
• Previous experience as an Administrative Assistant or similar administrative operations role preferred.
• Familiarity with MS Office software systems and comfort learning multiple business platforms.
• Ability to manage inbound calls and communicate professionally with customers, vendors, and team members.
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
