Responsibilities
  • Greet and welcome patients promptly and professionally, ensuring a positive first impression of NC Tooth Docs.
  • Schedule and confirm patient appointments, managing the calendar efficiently to optimize dental providers’ time.
  • Assist patients with completing necessary paperwork and dental insurance forms accurately and timely.
  • Respond to patient inquiries via phone, email, and in-person, providing clear and compassionate communication.
  • Coordinate with dental staff to ensure smooth patient flow and timely delivery of treatments.
  • Verify patient insurance coverage and assist with claims processing and billing inquiries.
  • Maintain and update patient records and databases, ensuring confidentiality and compliance with HIPAA regulations.
  • Support patient follow-up procedures, including appointment reminders and treatment plan communications.

Requirements

  • High school diploma or equivalent; associate degree or certification in healthcare administration is a plus.
  • Previous experience in a patient coordinator or customer service role within a healthcare, dental, or wellness setting.
  • Strong communication skills, both verbal and written, with the ability to interact empathetically and professionally.
  • Excellent organizational skills and attention to detail in managing schedules and billing processes.
  • Proficiency with electronic health record (EHR) systems and standard office software (Microsoft Office, email).
  • Ability to multitask and remain calm under pressure in a fast-paced clinical environment.
  • Knowledge of dental terminology, insurance processes, and HIPAA compliance standards is highly desirable.
  • A positive attitude, team-oriented mindset, and commitment to delivering exceptional patient care.
