Client Service Specialist

Salary Range: $45,000 - $55,000 per year You will be the person our clients call, email, and see when they need something done: a withdrawal, a transfer, a form, a beneficiary change, a question about where something stands. Most of the work happens after the call ends. You will prepare and submit the paperwork, follow it until it is actually complete, catch the snag before the client has to ask about it, and keep our systems accurate. You will also run projects that make the firm work better, from writing procedures to improving how we prepare for client reviews. This is not an advisor role. You will not give financial advice or sit in client meetings. It's a role for someone who enjoys taking care of people, is organized, detail-oriented, and has a real interest in the financial planning field. This work is most of what a client experiences from us between meetings. When it is done well, the meeting recap goes out the next day, the withdrawal shows up when we said it would, the phone gets answered, and when a client retires or sells a business, they hear from us. That is the difference between a client who feels taken care of and one who feels like a file, and it is why this seat matters. Over time, this role is intended to grow in responsibility, helping define service standards and mentoring future staff as the firm grows. What You Will Do Serve as a primary point of contact for client service requests via phone, email, and walk-ins Process account withdrawals, distributions, and maintenance requests accurately and promptly Prepare, pre-fill, collect, and notarize client documents Own service requests end-to-end, ensuring issues are resolved completely and correctly Maintain accurate records across CRM, custodial platforms, and planning systems as a natural result of service execution Prepare for client review meetings: run the reports, build the review kit, and send the recap and action items afterward Send the birthday cards, the congratulations, and the holiday gifts, and notice when a client retires, sells a business, or has a kid graduate Run projects that make the firm work better, including writing and updating our step-by-step procedures Keep the office running: supplies, backups, and greeting clients when they come in You Are Not A Fit If You prefer loosely defined roles without clear expectations You dislike detailed or process-oriented work You are seeking a financial advisor or sales job You find client-facing work draining or get anxious on the phone You are uncomfortable owning work independently How You'll Be Supported You will not be figuring this out alone. There are step-by-step procedures for every process, so you aren't left hanging. We meet every morning for a short task check-in and once a week to review projects, and you will have full visibility into the firm calendar, so you always know what is coming and rarely have to wait on an answer. You will work with real clients from the first week, with all of your work reviewed until you're up-to-speed. You will have 30-, 60-, and 90-day check-ins with written objectives, then quarterly reviews. No sales goals, no "finance bro" culture, and no working weekends. Licensing You'll take the Securities Industry Essentials (SIE) exam within your first 6 months (firm paid). The SIE gives you a strong foundation of knowledge that you'll use every day in this business. You'll become a notary right away if you aren't already (firm paid). There is no exam to become a notary.
