Administrative Assistant (Contract)

Waterloo, IA | Contract Position

Are you a detail-oriented administrative professional looking for your next opportunity? We are seeking a reliable and organized Administrative Assistant to support daily office operations for a growing organization in the Waterloo area. This contract role is ideal for someone who enjoys a variety of responsibilities, has strong customer service skills, and is comfortable assisting with basic billing and invoicing functions.

Key Responsibilities

• Provide administrative support to office staff and leadership
• Answer and direct phone calls, emails, and incoming inquiries
• Greet visitors and assist with general front office operations
• Maintain electronic and paper filing systems
• Schedule meetings, appointments, and coordinate calendars
• Assist with data entry, document preparation, and reporting
• Support billing and invoicing processes, including invoice creation, tracking, and follow-up
• Perform basic account reconciliation and assist with administrative accounting tasks as needed
• Order office supplies and maintain inventory
• Assist with special projects and other administrative duties as assigned

Qualifications

• 2+ years of administrative, office support, or customer service experience
• Experience with billing, invoicing, accounts receivable, or bookkeeping support preferred
• Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
• Strong organizational and time management skills
• Excellent verbal and written communication abilities
• Ability to manage multiple priorities while maintaining attention to detail
• Professional demeanor and strong customer service mindset

Preferred Qualifications

• Experience working in a fast-paced office environment
• Familiarity with accounting or ERP software
• Administrative support experience within manufacturing, construction, service, or professional office environments
