This position may be based in the Firm's Global Operations Center in Tampa, Florida, or in our Dallas office.
We are seeking an RFP Assistant to join our team. The RFP Assistant will be responsible for assisting with major firm wide business development efforts such as Requests for Proposals (RFPs), preparing first draft documents, tracking deadlines and responses; and maintaining the RFP database.
Key Responsibilities Include:
- Assist the RFP Manager and the RFP Coordinator in preparing responses to RFPs in a detailed, thorough, and timely manner.
- Read the RFPs carefully.
- Set up the shell response documents.
- Provide content, with direction.
- Prepare required forms, with direction.
- Revise response documents as needed in a deadline driven environment.
- Proofread the document.
- Oversee proper production/delivery of the final documents.
- Track RFP deadlines and results.
- Assist in maintaining, tracking and archiving processes.
- Collect the RFPs and the final versions of the responses.
- Post the final RFP documents to the RFP / Proposal system in a timely manner.
- Alert Manager/Coordinator if technical issues arise re: RFP / Proposal system, shipping difficulties or submission web portal errors.
- Learn to sort documents and locate specific RFPs quickly.
- Locate and provide copies of the RFPs upon request.
- Maintain the tracking system for RFPs.
- Assist the RFP Manager and the RFP Coordinator in compiling and maintaining a working database of information about the firm to be used in the preparation of RFPs including:
- Biographies
- Practice descriptions
- Transactions lists
- Special projects and additional duties as assigned.
Qualifications:
- 2 - 4 years of experience, preferably in the professional services sector.
- Seriously focused, detailed oriented, results driven, ability to work under pressure.
- Excellent organizational and interpersonal skills.
- Strong client-service orientation.
- Ability to work independently and in a team environment.
- Computer savvy and highly proficient with Microsoft Office suite.
Minimum Education:
- Bachelor's Degree – Journalism, Communications, or English preferred.
