Accounts Payable Manager

About the Opportunity

CV Resources is partnering with a well-established, nationally recognized consumer food brand to find an experienced Accounts Payable Manager. The company is in the midst of a major growth transformation, with a fully integrated ERP and operations that serve customers nationwide and around the world. In this role, you will be at the center of critical accounts payable transactions and will gain deep insight into how accounting records and financial reports are put together.

Position Overview

The Accounts Payable Manager supervises the AP department, ensuring invoices are processed and paid accurately and on time. You will establish controls for proper document matching, correct general ledger coding, timely payments that take full advantage of available discounts, and proper record retention. You will also be responsible for 1099 and state reporting and for adhering to sales and use tax requirements. AP is a service department, and customer satisfaction is critical to its success.

Key Responsibilities

Daily AP Management

• Manage the daily AP process, paying invoices on time to capture discounts and avoid late penalties and finance charges
• Lead a team of 5 across multiple locations
• Supervise training of new AP clerks, assign duties, and carry out performance appraisals

Month-End and Year-End

• Close AP monthly
• Reconcile the supplier ledger to the general ledger
• Prepare general ledger entries to accrue liabilities
• Ensure all year-end audit requests for AP are accurate and delivered on time
• Obtain EINs or SSNs for all vendors and prepare 1099s at year-end

Internal Controls

• Understand and review AP internal controls
• Ensure AP staff perform a 3-way match for commodities (invoice, purchase order, receiving documents)
• Ensure AP staff perform a 2-way match for services (invoice and purchase order)
• Ensure proper manager approvals on standard invoices
• Approve supplier updates only after phone verification
• Ensure suppliers paid by wire or ACH are on the verified list

Treasury

• Upload positive pay and ACH files to the bank
• Enter wires and approve ACH auto debits
• Process transfers between bank accounts
• Work closely with Finance and Treasury to reconcile and verify positive pay for all company checks
• Review checks and vouchers for accuracy before executive signature

Coding, Reporting, and Compliance

• Prepare guidelines for proper coding of invoices to general ledger expense accounts and updates to inventory records
• Review nightly post reports and integrity reports to verify all AP transactions are posted correctly
• Maintain records of purchases subject to state use tax in preparation for audits
• Supervise proper filing and storage of records in case of federal or state tax audits
• Assist with special projects as assigned by senior finance leadership

Qualifications

• Bachelor’s degree in Accounting (preferred) or Finance
• 5+ years of accounting experience, with leadership experience
• Expert-level Excel skills, as it is the main analysis and reporting tool
• Good understanding of accounting rules and procedures
• Experience with a top-tier accounting system is a plus (SAP, MS Dynamics, Sage, JDE)
• Experience with internal and external auditing and general ledger functions is a plus
