Patient Access Rep

Patient RegistrarGreets patients and/or visitors and/or vendors and/or staff. Registers patients for health services. Schedules office appointments and ascertains needs, directing accordingly. Ensures appropriate persons complete and receive proper forms. Directs or escorts patients to appropriate personnel, departments, or clinical areas. Verifies and completes patient registration. Checks in all patients in the electronic health record per practice guidelines. Ascertains necessary demographic and billing information according to guidelines. Schedules office appointments per practice scheduling guidelines. Answers telephone calls, determining callers' needs. Answers questions, schedules or changes appointments, and directs callers to appropriate parties. Takes messages and distributes them to the appropriate parties. Reports malfunctions of telephone equipment to the supervisor immediately. Requests and accepts cash, check, and credit card payments from patients at the time of visit. Reconciles daily copayment batches and prepares patient referrals for billing. Dispenses change to patients making cash payments. Prepares receipts for patients receiving services. Contacts billing for immediate insurance verification for walk-ins or patients with a change in insurance status. Scans insurance cards and photo IDs into the electronic health record to comply with practice guidelines. Verifies Medicaid status when necessary. Arranges for patient transportation when required. Contacts transportation companies on a timely basis to ensure patient transportation is within appointment schedules. Provides basic clerical support functions to other staff, including sorting incoming mail. Types or completes routine practice forms, records, and reports as needed. Checks and verifies data on forms, records, reports, and correspondence. Follows up on incomplete data by contacting responsible parties. Assists in training new practice staff with the patient check-in process. Addresses all canceled appointments and follows up according to practice policy. Manages appointment scheduling located in the electronic health record task list. Ensures the task list is up to date with accurate information. Sorts and distributes incoming mail. Types and sends letters for no-shows, canceled, referred, and bumped appointments. Answers telephone calls promptly and efficiently. Delivers consult calls according to policy.
